Minimum Qualifications
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:
Applicants must possess three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.


Applicants may also be appointed to this position if currently reachable on the appropriate eligible list for this title OR are a current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 11 or above and eligible for transfer under Section 70.1 of the Civil Service Law.


Duties Description

  • Coordinate postings for OGS and hosted agencies utilizing StateJobsNY and the internal job posting site.
  • Oversee management of the posting responses including saving responses for vacancies.
  • Run a variety of required reports, including appointment end date reports, and provide updates as changes occur.
  • Adding and removing Policy Makers from the COELIG database as well as sending correspondence to employees and agency ethics officers.
  • Canvass eligible lists, maintain responses, and develop lists of qualified acceptors for Human Resources staff.
  • Manage recruitment clearance codes biweekly.
  • Create BDA letters.
  • Develop and maintain List Unit Procedures for our everadapting work environment.
  • Assist with eligible list certification, canvassing, and acceptors lists as needed.
  • Schedule and monitor typing tests.
  • Interact with customers and colleagues in a courteous and professional manner.
  • Preferred experience in Microsoft Office Suite and Adobe.
  • Monitor and process traineeships, performance evaluations, and probation reports for employees, as well as logging, organizing, and sending PHF files to the Business Service Center.
  • Perform other duties and special projects as required.

Additional Comments


At a future date (within one year of permanent appointment), it is expected that NY HELPS employees will have their non-competitive employment status converted to competitive status, without having to take an exam.

Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State.

While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Some positions may require additional credentials or a background check to verify your identity.
