***The Operations and Events Specialist is responsible for providing a warm welcome to everyone at the Catalyst Campus. The Operations and Events Specialist provides front desk support, event planning and execution, community outreach, and performs office duties.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Must be a United States citizen.
  • Greet visitors, partners, and clients as they arrive and assist as needed. Get to know names and make everyone feel welcome.
  • Answer phone lines, assist callers and direct to correct offices.
  • Manage scheduling software and Campus calendar to include scheduling, tracking and billing of all meeting rooms.
  • Collaborate with relevant vendors to create event support resources such as event guides, posters, and logos for team building.
  • Maintain vendor's contact log to confirm accurate details about services provided, contacts, and pricing schedules.
  • Coordinate with partners to provide event management support for inperson conferences, workshops, and events.
  • Collaborate with CCTI staff to adhere to event management and fulfillment of policies and procedures.
  • Engage in research to gather data on calendaring tools that meet the requested needs of the team and customers.
  • Provide a workflow across CCTI functions and timeframes to offer the best services to our customers and team.
  • Establish event support for inperson conferences, workshops, and other events.
  • Communicate with customers and partners to ensure that necessary information has been received and submitted according to Forge Tours and Events.
  • Assist with event requests to include planning assistance, scheduling and set up of rooms with appropriate supplies and AV equipment.
  • Interface with Campus tenants to assist with room reservations, resolution of service issues and provide clerical support.
  • Maintain inventories of supplies to include tracking, and billing.
  • Maintain the image of Catalyst Campus by assisting with cleaning, and organization.
  • Support new tenant moveins as requested.
  • Manage CRM and visitor logs.
  • Some travel to pick up supplies, catering or marketing materials may be required.
  • Other office duties as requested (prepare correspondence, photocopy, PowerPoint presentations).
  • Assist with after hour events and help organize accordingly.
  • Distribute all mail and packages to corresponding tenants.
  • Support administrative tasks for marketing.
  • Provide IT support to all meetings as requested.
  • Fill in when teammates are out of the office (knowledge of other positions).
  • Core office hours are 8:00 am to 5:00 pm. This position requires flexibility with hours with the ability to open and/or close the facility and work occasional evening events.

SUPERVISORY RESPONSIBILITIES

  • This position does not have any supervisory responsibilities.
