The essential responsibilities of the Family Support Administrator include ongoing recruitment, enrollment, and timely replacement of eligible children according HBMPAA's timelines to ensure each assigned center reaches 100% enrollment and maintain 95% average daily attendance.

Responsible for the daily monitoring and tracking of children attendance and meal count records, daily entry of child/family data within agency adopted automated record keeping system and working directly with collaborative partners to ensure families qualify for services under multiple funding sources.


The Family Support Administrator is assigned to assist the Site Supervisor to ensure the daily activities and practices s/he implements adheres to the regulations, policies, and procedures of all regulatory entities which governs HBMPAA's Preschool 4 the Arts program.


Requirements:


  • Bachelor's degree in Business or Social Work is required.
  • Verification of completion of 3 semester units of accredited college course work related to children and families with a grade of "C" or better.
  • Within three months of employment New Hire Family Support Services must demonstrate successful completion of trainings required that are related to Community or Family Engagement and required skills for the position, specifically computer literacy and effective professional writing.
  • Must complete 8 hours of Health and Safety training. Additionally, the Infant Teacher must complete Mandated Reporting Training, CPR, and First Aide Training.
  • Must be computer literate, highly proficient in oral and written English, Bilingual preferred.
  • Physical clearance (Physical and TB Screening) and Background Clearance required prior to start of employment.

Responsibilities

  • Work in conjunction with childcare partners to review the eligibility of families for services ensuring families meet the criteria set forth by all funding sources for family need an eligibility for services.
  • Coordinate and participate in recruitment related activities to ensure full enrollment ass per contract funding award.
  • Complete ongoing enrollment of families to ensure assigned site has reached 100% enrollment
Assist families at time of enrollment with the following:

  • Completion of Ages and Stages Questionnaire
  • Social Emotional
  • Reviewing information regarding typical and atypical child growth and development and orienting families regarding the identification and referral process for children with suspected disabilities and/or developmental delays
  • Reviewing the agency's Parent Handbook to ensure family's understanding of agency's policies
  • Discussing with parents the opportunities for family engagement and partnership
  • If feasible, assist with translation of enrollment packet
  • On a weekly basis maintain system for tracking enrollment, transitioning of children, and recertification of families.
  • Establish Family Fee File for Business Staff certification prior to completion of Notice of Action
  • Services Notification
  • Ensure each family is afforded due process by completion Notice of Action prior to service changes. Update family file within automated record keeping system within specific timeline.
Completing and maintain program reports in accordance with specific timelines, which include but are not limited to:

  • Childcare and Food Program Meal Benefit Roster
  • Community Care Licensing Facility Roster
  • HBMPAA's Preschool 4 the Arts Program Family Data
  • Bimonthly Family Services Activity Reports
  • Daily review attendance and meal count records. Conducting timely follow up of child absences and/or discrepancies of attendance (i.e., Notice of Action approved hours of services versus actual time of arrival and departure or days of services).
  • Completing monthly review of Family Needs Assessment to track and document progress of goals attainment status of social services and other resources to address family needs.
  • Update and review Family Action Plans documenting referrals/services provided within Family Partnership Agreement monthly.
  • Maintaining and updating Family Files (hard copy and electronic data). Submit family related reports monthly.
  • In conjunction with the assigned Site Supervisor, coordinate quarterly Parent Advisor Committee meetings (PAC).
  • Participate as required in Parent Conferences and Student Study Team.
  • Ensure a timely Transition Plan implementation and participating as member on Transition Team at assigned site(s).
  • Assist with Family Files warehousing at the close of each year.
