The Division of Benefit Programs is currently seeking an Administrative Staff Specialist that will be responsible for providing administrative, operational, and analytical support to the Division of Benefit Programs Director, Associate Directors, and Division Management Team.

Activities include but are not limited to processing the division mail, ordering supplies using eVA and the small purchase charge card, assisting with travel, facilitating the Library of Virginia records process for the division, entering in data into systems, maintaining the divisions asset inventory, assisting preparing human resource forms and general administrative support.


Minimum Qualifications

  • Comprehensive administrative experience in an office setting.
  • Experience and skill responding to internal and external customer inquiries either in writing or via the phone.
  • Knowledge of executive administrative and office policies and procedures.
  • Basic skills in Microsoft Office products.
  • Skill in working with data system or purchasing system.
  • Demonstrated ability to handle confidential and sensitive issues/documents.
  • Ability to recognize and resolve problems.
  • Ability to learn, review, and understand travel and purchasing rules.
  • Ability to handle multiple projects, plans, and organize.
  • Ability to collaborate with staff and managers within the divisions.
  • Skill in communicating effectively, orally and in writing, with all levels of employees and customers.

Additional Considerations

  • Experience with Virginia's purchasing system (eVA).
  • Experience with Virginia's Small Purchase Charge Card (SPCC).
  • Experience with the Library of Virginia records system.
  • Experience with preparing human resources forms.
  • Experience in preparing, processing, and calculating travel reimbursements.
