    Executive Assistant/Personal Assistant for UHNW Founder/CEO & Family

    • This role will provide administrative and office support to Founder/CEO of a boutique finance firm, as well as provide additional Personal Assistant support to spouse/family and home office as needed.
    • Day-to-day administrative needs for Founder/CEO and others include: calendaring, scheduling, internal and external meeting coordination, meeting preparation, complex travel, expense reporting, and office management including facilities, vendors, and operational processes
    • Act as main point person for the firm on behalf of Founder/CEO – first point of contact for questions, client communication, and employee relations
    • Serve as a trusted partner to the Principal, their spouse, and family, ensuring all tasks and requests are executed with precision and discretion
    • Align priorities, schedules, personal and professional commitments and maintain seamless support to the executive and their spouse
    • Take detailed notes during meetings, ensure timely follow-up on action items and manage personal correspondence including drafting thank you notes and arranging gifts
    • Handle personal travel for family as needed. Arrange all legs of travel (e.g., flights, car service, hotels) and coordinate with family members to ensure everyone is informed of arrival and departure times
    • Plan and coordinate family events, dinners and gatherings, ensuring every detail is managed to the highest standard including menu planning, guest lists and logistics
    • Household management and oversight; awareness of the workings of each of three private residences, oversee household staff including scheduling, supervision and ensuring high standards of service and professionalism.
    • Scheduling personal appointments, maintaining calendars, coordinating events and managing budgets/expenses
    • Perform personal errands, gift-buying (and wrapping around holiday time), handling returns or things to be dropped off/delivered around the city

    Candidate Requirements

    • Minimum of 10 years of experience with a proven track record of both PA support for a UHNWI and family, as well as EA/OM support in a corporate setting
    • Bachelor's degree strongly preferred
    • Experience working for C-Suite in Financial Services, Investment Management or Private Equity
    • Excellent verbal and written communication skills
    • Ability to maintain confidentiality to the highest degree and discretion in all circumstances
    • Ability to multi-task utilizing effective time management skills, organization and prioritization
    • Meticulous attention to detail and accuracy
    • Ability to perform in a fast-paced environment with the highest standards with a strong sense of urgency
    • Adaptability and flexibility to accommodate changing priorities and requirements
    • A proactive and self-motivated attitude, with a strong sense of ownership and accountability
