Aging Well Eldercare is one of the area's longest-practicing Aging Life Care Management services, celebrating 35 years in business. We are currently seeking a Data Entry Assistant who will work as a member of the Administrative Team and perform a range of data entry tasks in the company's client database, in areas of database integrity, data cleanup, and correcting data errors and inconsistencies. The position will also perform clerical responsibilities related to general office activities in support of the Aging Well Eldercare team.


Essential Duties & Responsibilities:


  • Review data in CareView for deficiencies or errors and assist with maintaining database integrity.
  • Assist with organizing client (digital) documents including separating out commingled documents, ensuring proper naming, and dating of client documents to ensure most current required documents are uploaded to client files.
  • Organize documents and data in the Documents and Insurance portals and ensure accurate placement within the appropriate sections in CareView including relocating them to the corresponding areas.
  • Assist with cleanup of the Contact module by tagging names to the appropriate groups including the holiday card group lists, constant contact newsletter group lists, and other lists as identified; Ensure "Street Address 1" and "Street Address 2" are uniformly recorded across all records.
  • Work closely with a member of the Leadership Team to assist with the clean up of the Contacts data to include identifying outdated "Professional" and "Provider" records, ensure completeness of current records, perform tagging corrections, update contact types, and aid in obtaining review scores from care managers.
  • Create and maintain a shared Google document that will aid in identifying essential missing client information, and track expired and outdated company and client documents.
  • Verify all data with appropriate staff that appears to be outdated and aid in obtaining current records and make any necessary changes to records.
  • Provide data entry support across departments on an adhoc basis.
  • Transfer data from hard copy to a digital database ensuring accuracy.
  • Update and add contact information in the client database as directed by care managers or other staff.
  • Assist with analysis of metric reports for clients, service/program and industry.
  • Scan and input document files to the database when requested.
  • Attend regularly scheduled meetings with the FM program development team when needed.
  • Assist with special projects that require data entry.
  • Operate common office equipment, like scanners and printers.
  • Provide administrative support as needed.

Required Skills, Education, & Experience:


  • Experience in data entry & typing.
  • Proficient with technology or experience working in database management systems preferred.
  • Excellent written and verbal communication skills.
  • Knowledge of spreadsheets and online forms.
  • Ability to maintain security & confidentiality of company information.
  • Strong organizational skills and detailoriented.
