DBM Vircon is looking to expand our Engineering and Design footprint in North America, we are seeking highly motivated, energetic, and proactive individuals who are looking to take on a larger role in their careers.

In our Tempe office, we are hiring for a Project Analyst. The Project Analyst will provide support to the Project Management Teams, with high quality, accurate and timely professional assistance.


Core Responsibilities:


  • Project Support Accountabilities _
  • Provide day to day administration support to the Project Management Teams across all trade disciplines.
  • Coordination of Project Startup Plan. Carry out own actions and follow up outstanding actions of others. Actions will include follow up outstanding initiation requests to the client. Setting up the project under instruction from Project Manager.
  • Coordination of project specific requirements for all live projects in conjunction the Project Managers including but not limited by:
  • Assist in general project deliverables including specifications, Bill of Materials, project correspondence, Technical Queries (TQs) / Request for Information (RFIs) and Shop Detailing Instructions (SDIs).
  • Management of Notice of Change / Change Order Requests (NOCs / CORs). Maintaining a current register and ensuring NOCs / CORs estimates, and actuals are sent out in a timely manner.
  • Project reporting and generation, formatting and coordination of formal client communication.
  • Maintain project specific Communication Plans.
  • Monitor project systems setup to ensure accurate project data collection and invoicing.
  • Support the invoicing process ensuring Project Managers are issuing invoices on a monthly basis. Be aware of client invoicing requirements and cut off deadlines and ensure invoices are accurate and timely for client payment.
  • Maintain the master multiple project schedule by being accountable for the following items:_
  • Accountable for developing schedules for tenders.
  • Assist Project Manager in developing project plans and output specifications (client deliverables), including manpower schedules and delivery programs, with understanding of the critical paths of assigned projects.
  • Accountable for liaising with project managers to develop project set up information and assigning correct work areas and categories for timesheet systems. Responsible for reviewing actual performance and hours expended to evaluate forecast completion dates
  • Accountable for providing progress reports for project managers and weekly production meetings, highlighting critical activities.
  • Accountable for assisting project managers and project leaders in providing client progress reports.
  • Accountable for controlling change on projects and identifying the effect these have on critical path activities.
  • Accountable for communicating with project managers and clients using automatically updated progress reports.
  • At completion of each project, accountable for summarizing key information as historical data for future projects.
  • Coordination of Project Close Workflow_
  • Monitoring the Project Closure Check List following up assigned administration activities.
  • Closing the project files.

Qualifications and Experience Required:


  • Ability to prepare work breakdown and cost breakdown structures based on project scope, in conjunction with the Project Manager.
  • Ability to communicate analysis findings and required recovery plan activities to management through concise written reports and clear verbal / visual presentations.
  • Primavera P6 required.
  • Advanced skills with MS Excel, PowerPoint, Word and Outlook.
  • Previous experience working within a professional service, construction management, engineering, or resources sectors.
  • Strong ability to work within a team environment.
  • Bachelor's degree in Business, Construction Management, Engineering related fields is preferable.
