Executive Assistant to the CSO and COO

What we are looking for:


  • Support two senior level executives, Chief Sales Officer and Chief Operating Officer, liaison to area Executive Assistant lead.
  • Supports Executive Assistant to CEO with various assigned tasks and projects.
  • Acts as a strategic partner and liaison to CSO and COO, is a sounding board and support for new ideas and initiatives.
  • Works closely and effectively with the CSO and COO on a variety of projects, manages progress of key priorities, and sees completion of projects.
  • Schedules & coordinates meetings held in person and virtually.
  • Formulates and compiles reports for CSO and COO to understand where the business is and what needs to be addressed; advise on situations that require additional support or escalation.
  • Handling extremely confidential and sensitive information.
  • Prepares CSO and COO for meetings (virtual and in person), ensuring successful meeting execution and participation. This includes creating and managing agendas, and other meeting materials, reviewing materials in advance and debriefing on follow up action items.
  • Creates presentations and assists in the data collection, preparation, and organization of reports for the CSO and COO.
  • Compose, coordinate, prepare, organize, and distribute letters, memos, and other communications internally and externally., domestically, and internationally.
  • Creates travel itineraries, considering time zones, weather delays and traffic, booking travel (air/car/hotel), maintains constantly changing calendar, prioritize meeting requests.
  • Supports large corporate meetings, i.e., offsite meetings, national sales conferences, anniversary celebrations, etc.
  • Support planning for visitors to the various office locations and special events.
  • Assist with the compiling and development of the annual budget.
  • Reconciliation of company's credit card, create and audit expense reports for CSO and COO as well as direct reports.
  • This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as deemed necessary.

What you bring:


  • Prior experience as an Executive Assistant, ideally to Clevel executives
  • Ability to maintain a professional atmosphere in a fastpaced environment with numerous interactions and interruptions.
  • Ability to establish and maintain cooperative and professional working relationships with team members and colleagues.
  • Become a central point of contact for the coordination of the executive's activities and ensure preparation of relevant documents and briefing material.
  • Professional attitude and appearance.
  • Strong knowledge in MS Word, Excel, Outlook, and PowerPoint.
  • Clear and concise verbal and written communication skills.
