Bookkeeper
Under the supervision of the Administrative Team Lead manages a variety of
financial functions.
1. Manages processing and accounting for disbursements.
a. Processes routine bills including reviewing for accuracy, determining
payment, entering into accounting system and maintaining documentation in
files in accordance with procedures.
b. Process payment requests submitted by staff utilizing the HHC-1 Payment
Request form.
i. Review for accuracy and reasonableness.
ii. Enter into accounting system with appropriate coding
iii. Maintain files
c. Process payments made from the Housing Savings Account in accordance
with HHC policies.
d. Process automatic monthly payments (loan repayment and other recurring
non-billed expenses).
e. Assist in processing payroll on a weekly basis as needed.
f. Monitor payment of employment related taxes, workers compensation and
other payroll related items.
2. Manage accounting for all forms of revenue
a. Check safe for remittances and process according to policy.
b. Process all checks according to policy.
c. Accept others forms of payment and process according to policy.
d. Assure that all accounting entries are accurate and include complete memo
lines.
e. Maintain back-up copies of checks or other documents to support all
deposits.
3. Manage the Representative Payee Accounts for HHC.
a. Assure that enrollment paperwork is properly completed with Social
Security.
b. Maintain file for each payee.
c. Review payment requests for compliance with Social Security guidelines.
d. Process approved payment requests.
e. Process "spending money" checks twice per month
f. Process routine payments as agreed with payee.
g. Report to social security as required.
h. Produce weekly reports on account activity for Help Center staff.
4. Manage the Housing Saving Account.
a. Collect payments from safe.
b. Deposit payments and record to individuals guest accounts.
c. Process payments from in accordance with HHC policy
d. Produce weekly report of account balances and make report available on
shared drive.
5. Submit monthly payment vouchers. Maintain records of all submissions including
any required back-up documentation.
a. to VA monthly.
b. to HUD.
c. Respite bill to L+M monthly
- Record all billed revenue as an A/P and properly allocate incoming payments when
7. Manage rent rolls for HHC properties.
a. Maintain an accurate list of tenants and rental terms through ongoing
discussion with the property manager.
b. Record weekly/monthly rents for each tenant.
c. Produce weekly report of rent balances every Monday and make available on
the shared drive.
d. Process rent write offs as authorized.
8. Assist with financial reporting as directed including uploading files to shared drive
to provide staff with access to necessary financial data.
9. Provide support for contract staff completing billing documentation to funders.
Qualifications
A minimum of five years bookkeeping experience. Degree in accounting a plus.
Ability to work in all aspects of QuickBooks.
Ability to handle multiple priorities and desire to be part of a team seeking to address the issue of
homelessness.
Ability to work effectively with program staff to understand service goals and meet contract
requirements.
Position
This is full time position with compensation from $25-$29/hour based on experience.
