The
Meeting Planner is responsible for the management and timely execution of contract deliverables for the planning for multiple concurrent events.
Typical Duties /Responsibilities
- Provides fullcycle management and support for virtual and inperson meetings of various sizes and complexity.
- Manage vendor requirements including audio visual and catering.
- Supports financial review and reconciliation; maintains team management plan for preonsite and postplanning activities.
- Develops event materials such as programs, name badges, tent cards and other print items.
- Interfaces with client and project team members to complete timely project/conferencerelated deliverables within client requirements.
- Manages multiple operating budgets for meeting projects and meeting preparation.
- Travels up to 25% of the time outside of the tristate metropolitan area.
- Provides onsite meeting support
- Provides virtual meeting support
- Maintenance of event databases.
- Performs other duties and responsibilities as assigned.
Qualifications and Requirements:
- HS Diploma Required
- College degree desired.
- Minimum of three plus (3+) years? experience in event planning;
- Certified Meeting Professional (CMP) or Certified Government Meeting Professional Certification (CGMP) desired. Other certifications in Meetings/Events Planning are a plus.
- Proficient with or skilled in the use of Microsoft Office 365 required.
- Knowledge of Federal Travel Regulations (FTR) desired.
- Experience with virtual meeting platforms such as Zoom or MS Teams desired.
- Knowledge and experience using SharePoint and Cvent for meeting planning is highly desired.
- Knowledge and experience with supporting events for events up to 200 participants is required.
- Detail oriented with a high level of organizational and interpersonal skills
- Ability to manage multiple projects and meet deadlines
- Excellent people skills in dealing with clients, vendors, and internal staff
- Ability to prioritize and meet tight and diverse timelines
- Ability to work both independently and as part of a dedicated team
- Ability to be flexible and work on projects outside written job description.
