Job Summary:
Administrative Responsibilities:
- Manage executives' calendars and set up meetings
- Prepare reports, memos, letters, and other documents
- Handle incoming and outgoing correspondence
- Coordinate travel arrangements
- Assist in preparing presentations and materials for meetings
- Conduct research and compile data as needed
- Handle sensitive information in a confidential manner
- Perform general office tasks such as ordering supplies and maintaining records
Other Industry Specific Tasks (we will train)
- Submitting and organizing permits with local municipalities
- Drive pick up truck for deliveries and pickups of equipment and materials
- Customer service and problem solving
- Troubleshooting machines, working with technicians and researching parts for order
- Content creation for website, social media and printed media
- Assisting with miscellaneous tasks
Requirements:
- Proven experience as an executive assistant or similar administrative role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks
- Strong communication skills, both written and verbal
- Ability to work independently with mínimal supervision
- Attention to detail and problemsolving skills
- Knowledge of QuickBooks for basic financial tasks is a plus
- Familiarity with Google Suite for document management is preferred
- Ability to transcribe accurately and proofread documents efficiently
