Purpose


Provide proactive and productive Advancement Services support within the College of Liberal Arts (COLA) Development Office, with consistent focus on high-level attention to detail and accuracy in support of our donors, students, and faculty.


Responsibilities:


  • Travel Administration: Handle all travel arrangements, logistics, and reimbursements for the frontline, including Chief Development Officer, Senior Director, two Principal Gift Officers, and two Directors of Development and Advancement Service teammates as needed. This includes creating and tracking travel request and reimbursement vouchers (VE5, VP5, REQS, OOEF, VPE). When needed, the Development Specialist may also assist with travel arrangements for guests and donors.
  • Frontline Support: Assist with personalized projects related to solicitations and prospecting and attending proposal forecasting monthly meetings and annual goal setting planning sessions
  • Purchasing and Reconciliations:
Assist with deposit scheduling, supply charges, and reconciliations (VP7, VP1, VP2)

  • Donor Engagement Support:
Greet visitors, answer phone calls, and handle guest inquiries. Update donor contact information in the VIP database as needed.

Along with all staff, assist the Associate Director of Development - Volunteer Leadership with the coordination of regular College events, including logistics, set up, and break down.

Required Qualifications

Bachelor's degree. A minimum of one year experience assisting with development or travel arranging. Proven ability to manage multiple tasks and handle pressure under tight schedules. Proven ability to work independently and as a team member. Demonstrated high attention to detail. Excellent relationship building skills and interpersonal, communication, and organizational skills. High level of professionalism and customer service. High level of project management and time management skills.

Preferred Qualifications


More than three years' experience in development or travel industries or one year of increasing responsibility in planning, executing, and evaluating high-level profile events.

Demonstrated experience interacting with key university constituents, alumni, and donors. Demonstrated ability to interact effectively with university administrators, deans, faculty, and staff in providing good client and customer service. Proficiency in University of Texas policies, rules, and procedures. Experience with VIP, Outlook, and Excel.

Salary Range

$50,000 + depending on qualifications

Austin-area base is required with a blend of in-person work and remote work.
