The Position at a Glance


If you're an experienced medical office manager who is committed to patient satisfaction and seeking a friendly, patient-centric clinical setting, _we're looking for you_ As our Practice Manager (North County), you'll oversee operations at
both our Carlsbad, CA and Murrieta, CA locations.

In this position, you'll provide leadership, plan, and implement all daily practice operations of both offices to ensure a coordinated approach to patient service excellence and efficient, effective operations.

You'll also supervise, coordinate, and plan the activities of all assigned staff at both locations. (See below for full responsibilities.)


Location Schedule
This is an in-person position (telecommuting/hybrid schedule is unavailable).

The required weekly work schedule for this position at each office is as follows:


  • Carlsbad office: Mondays and Tuesdays, and the 1st and 3rd Fridays of each month
  • Murrieta office: Wednesdays and Thursdays, and the 2nd and 4th Fridays of each month

Salary and Benefits

Qualifications
Both of the following qualifications are required by time of employment:

  • A bachelor's degree in medical office administration or a related field from an accredited institution.
  • A minimum of three years of supervisory experience in a medical office overseeing scheduling, financial, and patient support functions.

The Position - Full Responsibilities

  • Performs supervisory duties, to include: fostering a positive work environment and address employee questions and concerns; establishing employee schedules, assuring appropriate staffing and coordinating daily tasks of the assigned locations for optimal workflow; controlling and approving overtime; coaching and training assigned staff; conducting performance evaluations, performance improvement plans, corrective actions, and discipline in accordance with the CALHNS Employee Handbook and in conjunction with CALHNS leadership and Human Resources when applicable; conducting employment interviews and making hiring recommendations.
  • Oversees and coordinates of provider clinic schedules and appointments to optimize workflow using the electronic health record (EPIC).
  • Provides information and assistance to patients to ensure effective patient relations and satisfaction; investigates and proactively resolves patient complaints and concerns.
  • Schedules appointments and submits insurance authorization as necessary to provide backup or overflow coverage to staff.
  • Oversees and conducts the financial functions including billing of patients; collection of patient payments via either credit or debit cards, cash, or checking account information; cash posting; collects information for copays, deductibles, and down payments for future surgery and procedures.
  • Ensures the adequate provision of office supplies and equipment within the Practice's budget; monitors equipment to determine appropriate maintenance, replacement, and removal.
  • Facilitates communication between staff members, other departments, and leadership.
  • Assists with scanning, purging and faxing patient records.
  • Maintains an optimal physical environment at assigned locations and reports any unsafe conditions, inoperative equipment or other adverse conditions to leadership.
