:RDTS is seeking a cleared Program Assistant to support the The Office of Civil Service Talent Management at the U.S.
Dept of State in Washington, D.C. This position is full-time (8:00am-5:
00pm) and hybrid.
HR Program Assistant
- Scheduling and updating the Director's and Deputy Director's calendars.
- Preparing and submitting Time and Attendance records for the office.
- Coordinating and tracking multiple, often timesensitive externally tasked assignments across multiple divisions, including uploading items in the Document Management System.
- Facilitating the administrative onboarding tasks for new employees
- Maintaining the office suite, equipment and inventory supplies and coordinating general repairs and ordering replacement supplies, as needed.
- Updating office policies, procedures, and home page of the office SharePoint site.
- Creating, updating, and maintaining records, communications, and databases.
- Preparing, copying, and/or scanning correspondence, documentation, or presentation materials.
- Supporting divisions and staff requests, including conducting research, as needed.
- Preparing travel arrangements for office staff and managers.
- Organizing special functions and social events (inperson, virtual, and hybrid) and greeting guests.
- Engaging GTM Front Office (GTM/FO) Staffers, and hand carrying packages to the GTM/FO.
- Other duties as assigned.
Requirements:
Administrative Officer Requirements and Qualifications:
- Active Security Clearance
- Excellent written and verbal communication skills
- Excellent interpersonal skills, for both inperson and virtual engagement
- Highly organized multitasker with excellent time management skills and ability to prioritize in a fastpaced environment.
- Willingness to learn, solve problems that may require research, and motivated to take on additional projects.
- Selfdirected, takes initiative and able to work without supervision.
- Prior experience as office assistant, office administrator, or handling administrative responsibilities in a related field. Experience scheduling appointments/updating calendars a must.
- Proficient computer skills, including Microsoft Office 365 Suite (Word, PowerPoint, Excel, and Teams), Webex, and Zoom; and willingness to develop computer literacy further.
- General knowledge of the State Department environment a plus.
