Administrative Assistant to join our dynamic team. This hybrid role is made up of dispatching duties and administrative/billing duties related to our facility operations.


Responsibilities:


  • Closely monitor the dispatch board to triage and prioritize calls.
  • Open work orders and document service issues on equipment.
  • Assign technicians to work orders based on skill set and geographic proximity.
  • Coordinate daily routes for technicians.
  • Work closely with manufacturers and equipment dealers to schedule equipment installations/performance checks.
  • Assist customers with any servicerelated issues.
  • Manage invoicing.
  • Review technicians' timesheets for accuracy.
  • Maintain financial records.
  • Assist with billing inquiries.
  • Provide general administrative support as needed.

Requirements:


  • High School Diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong attention to detail and organizational skills.
  • Excellent communication abilities.

Skills:

Dispatching Experience:Familiarity with dispatching duties.

Billing Experience: Familiarity with billing processes and software.

Data Accuracy: Ensure precise data entry and record-keeping.
