Inventory Coordinator

GENERAL SUMMARY/ OVERVIEW STATEMENT:


Under the general direction of the MM Supply Support Manager, and within established hospital and departmental guidelines, the Operations Coordinator performs activities associated with the service improvement of the BWH Supply Support Department.

This individual will coordinate efforts to identify service issues in the assessment/replenishment process, monitor med/surg supply levels and make par level changes as necessary.

This position also supports new areas - works with nursing management and nursing staff on shelving configurations, med/surg inventory, and product placement.

Correlating to this, will work with Prime Vendor to increase inventory to support additional usage of med/surg items.

Actively supports the delivery of high quality customer service.

Works with MM Inventory Controller, MM Customer Service Leads, customers and department staff to implement measurable improvement to services to increase customer satisfaction and cost effectiveness.


PRINCIPAL DUTIES AND RESPONSIBILITIES:


  • Under the direction of the supervisor, carry out the day-to-day responsibilities of Materials Management Supply Support Dept. to ensure the supply assessment and replenishment functions are supporting the needs of the customers; identify inconsistencies directly related to service delivery and assist in resolving problems; and disseminate this information to staff. Also, assist in the development and delivering training programs
  • 2. Collect and analyze utilization reports and demand calls to determine where changes can be made to supply area profiles; prepare reports for management which indicate service improvement opportunities and the most costeffective mix of med/surg supplies.
  • 3. Develop and maintain a Quality Assurance schedule to ensure each area gets evaluated on proper assessment, replenishment and area cleanliness on an ongoing basis. Adjust as necessary and disseminate to QA Associates.
  • 4. Work with the customers (e.g. Nurse Mangers, NICs, Ops Supervisors) to identify any specific needs or concerns. Provide general customer service and coordinate with Materials Management supervisor, Inventory Controller, Customer Service Leads to ensure proper and timely product and service delivery and/or to customize or develop programs to meet customer requests.
  • 5. Work with Inventory Controller to help effectively coordinate product trials and conversions; assist in providing conversion information to the MM staff; provide informational tools for staff to allow seamless transition through product changes.
  • 6. Maintain database integrity of all supply areas; perform all supply area edit requests; maintain records of all request; ensure seamless transition of product edits; inform Materials Management supervisors and staff of changes to supply areas, as necessary.
  • 7. Work with Nurse Managers and staff by assisting with new area openings. Develop pod profiles, inform Prime Vendor of additional med/surg supply requirements to assure supply chain continuum, configure shelving, and work with Nursing staff on appropriate product placement.
  • 8. Follows hospital, TJC, DPS, OSHA and CMS guidelines and procedures for supply stocking and rotation.
  • The inventory coordinator may be present in secure medication storage areas and are allowed to handle and distribute medications supplied by the BWH materials management department.
  • A high school degree is required; college degree preferred.
  • Experience in operations required, preferably in a health care setting. Some supervisory experience is helpful.
  • Experience in operations improvement helpful (including cost reduction and process improvement).
  • Requires excellent interpersonal, influencing, and organizational skills. Must be comfortable in working with Nursing and Operations Management and Staff.
  • Must have the ability to take initiative, prioritize assignments, and work independently.
  • Problem resolution skills are required.

WORKING CONDITIONS:


  • Materials Management is a fast paced and sometimes stressful environment.
  • Must be able to work nonstandard shift on occasion.
  • Must be able to lift 50 pounds.
  • Must be able to push/pull 800 lbs. using manual pallet jack.
  • Must be able to assemble and reconfigure shelving and associated hardware.
  • Must have the ability to adjust to operational changes including service and schedule changes.
