Position Overview:


Receptionist Job Key Responsibilities:


1.

Primary Point of Contact:

Act as the primary point of contact for clients, providing assistance both in-person and over the phone.


2.


Call Management:

Answer, screen, and forward calls; provide accurate information, take messages, and schedule appointments efficiently.


3.


Client Communication:

Provide clients with accurate and timely information regarding their legal matters using Clio, ensuring clarity and professionalism in all interactions.


4.


Appointment Management:

Assist in scheduling appointments and effectively manage attorney calendars using Google Calendar, ensuring optimal utilization of time.


5.


Payment Handling:

Receive payment for services rendered, accurately record receipts, and maintain detailed payment records to ensure financial transparency.


6.


Client Support:

Address client concerns and complaints with empathy, efficiency, and professionalism, ensuring a positive client experience.


7.


Confidentiality Maintenance:

Uphold strict confidentiality and discretion in all client interactions, safeguarding sensitive information and maintaining trust.


8.


Record Management:

Maintain organized and up-to-date client records and case files using Clio, MS Office, and G Suite, ensuring accessibility and accuracy of information.

Document Preparation:

Proofread, prepare, and translate documents using MS Word, ensuring accuracy and adherence to legal standards.


11.


Team Collaboration:

Collaborate effectively with other team members to ensure seamless operations and facilitate efficient workflow.


12.


Cultural Contribution:

Contribute positively to the overall atmosphere and culture of the firm, embodying its values and promoting a supportive and collaborative work environment.


13.


Facility Maintenance:

Maintain cleanliness and orderliness of the lobby and breakroom, organizing and ordering supplies as needed to ensure a comfortable and professional environment.


14.


Additional Duties:

Perform other office duties and tasks as assigned, demonstrating flexibility and willingness to contribute to the overall success of the team.


Qualifications:

1.
Fluency in both English and Spanish, with strong written and verbal communication skills in both languages.

2.
Proven experience in a receptionist or administrative role, preferably in a legal setting.

3.
Exceptional organizational skills and the ability to manage multiple tasks simultaneously.

4.
Strong attention to detail and a commitment to accuracy.

Proficiency in office software and technology, including Microsoft Office Suite.

Experience:


  • One to two years of experience in the legal field preferred.
  • Proficiency in Microsoft Office (Word and Excel).

Education:


  • High school diploma or equivalent; some college.

Position Details:

Hours: 9:00 a.m. - 6:00 p.m.


Pay:
$ $23.00 per hour

Expected hours: 40 per week
