Job Title/High Level Position Summary:

As the Logistics and Distribution Coordinator , you will provide dependable, high quality administrative support to the site leader. You will be a consummate professional, working collaboratively to ensure the success of the site leader and the leadership team. You will work with minimal supervision in a fast-paced environment, exercise superb judgment in proactively prioritizing work, and maintain the highest level of confidentiality and discretion while performing a full range of administrative duties in both the Distribution and Logistics Operation. You also may create and maintain specialized reports, pre-work and meeting preparation, presentations, records, and files required for site leadership team.

Key Responsibilities:

• Manage the agenda of the site leader.
• Provide full administrative support including, but not limited to, schedule management, travel arrangements, expense/invoice management and event/meeting planning.
• Support the site leader and leadership team in the planning and coordination of site team activities (conferences, team meetings, engagement events, etc.)
• Manage the Global Shipping Inbox and provide timely response to all associates inquiries.
• Provide Logistics support with filing of freight claims, scheduling returns shipments, freight account setup and timely response to shipping quote request.
• Ensure onsite office and warehouse suppliers are ordered and managed in a timely manner.
• Process vendor invoices and needed purchase orders in timely and accurate manner (use of Oracle system)
• Manage team related inquiries and serve as key point of contact.
• Effectively manage work of a confidential nature with discretion
• Help ensure requests are responded to in a timely manner, using superb judgment to assist and make decisions with minimal supervision.
• Ensure timely expense reporting in compliance with organizational policies.
• Carry out any other task that may support the site leadership team at the DFW DC
• Maintain a high level of professionalism in dealing with all business matters.
• Other duties as assigned

Minimum Basic Qualifications:

Experience

• 1-3 years experience preferred.

Education

• High School diploma or GED; some college course work preferred.

General Skills/Competencies/Specialized Knowledge

• Proficient in Microsoft Outlook, Word, Excel
• Experience with PowerPoint and Oracle a plus.
• Strong organizational skills and the ability to multi-task
• Able to work onsite a full 8-hour shift and overtime as required. (Daily Start time is 7:30 AM)
• Excellent written and verbal communication skills.
• Able to maintain strict confidential information and maintain strict confidentiality.
• Attention to detail oriented with strong time management skills.
• Ability to work in team environment.
