JOB SUMMARY


The primary duty of this position is to serve as an agency receptionist, assisting in fielding, screening, and directing more than 68,000 calls and nearly 5,000 walk-in clients annually via the County's VOIP phone system and Call Center software.


REPORTING RELATIONSHIPS
This position reports directly to the Clerical Supervisor I.

Daily contact is maintained, and supervisory meetings are held regularly for the purpose of discussing ongoing assignments, program, and personnel matters.

Performance is also evaluated indirectly, through observation of interactions with consumers and others.


ESSENTIAL JOB FUNCTIONS
Performs receptionist duties, including screening and routing phone calls, greeting, and directing walk-ins to the appropriate agency staff. Deals effectively with high volume and fast pace of consumer and public inquiries on the telephone, remotely, and in-person. (55%)

Receives and distributes agency mail / correspondence daily (15%)

Filing/maintaining agency deceased records and data entry projects. (10%)

Assists with copying and stocking care management and agency forms (5%)

Maintains agency in/out board and mailboxes (5%)

Assists supervisor with special projects and serves as clerical back-up (5%)

Assists unit departments as necessary (5%)


OTHER SPECIFIC TASKS OR DUTIES
Applies knowledge of agency services, programs, and current events to respond appropriately to questions.

Provides data entry/word processing, as needed.

Operates office equipment to copy, fax, and scan materials, as directed.

Performs filing and retrieving of program/consumer documentation, as needed.

Serves as back-up during clerical team absences, when necessary.

Provides clerk typist assistance to agency units, when appropriate.

Performs other duties, as assigned.


MINIMUM QUALIFICATIONS
Completion of a high school business curriculum which included at least one typing course, or

Any combination of equivalent experience and training which provides the required knowledge and skills.


KNOWLEDGE, SKILLS, AND ABILITIES
Demonstrates good interpersonal skills and professionalism when answering phones and greeting walk-ins.

Familiarity with and knowledge of aging related programs.

Ability to understand and anticipate consumer wants and resolve needs with patience.

Works alone or with others as needed to accomplish unit goals and objectives.

Ability to multitask and prioritize workload in a fast-paced office environment.


REQUIRED LICENSES/CERTIFICATIONS/CLEARANCES
Reference checks from a minimum of three professional references.

Must pass criminal background checks.


PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
Work is primarily sedentary in nature. Requires the ability to sit for extended periods of time to answer telephone calls. Also uses a computer keyboard and mouse for data search and entry. Infrequent bending and stretching to file documentation.

This position has been identified as having the potential for exposure to Hepatitis B. Access to training and a voluntary vaccination against Hepatitis B is provided.
