SUMMARY:

Provide clerical support to the Substance Abuse Outpatient programs. Open/Close charts.

Initiate Person Served electronic records and coordinate services, including but not limited to Outpatient Detox, Substance Abuse Outpatient, Medication Assisted Treatment and Aware Program.

Must have computer knowledge.

ESSENTIAL DUTIES AND RESPONSIBILITIES:


The Duties and Responsibilities reflect the general details considered necessary to describe the principal functions of the job and shall not be construed as a detailed description of all related work assignments that may be inherent to the job.


  • Answer all substance abuse routed calls.
  • Coordinate all levels of substance abuse Outpatient care & refer to appropriate department.
  • Schedule all new individuals for evaluation (OP/SA, AWARE, MAT and OP Detox with appropriate clinician.
  • Will log for all new individual served information regarding insurance status for verification of benefits and insurance authorizations. Will enter and update payor source in the clinical record.
  • Open/close charts in a timely manner and verify information from clinicians is correct. Complete discharge summaries and conduct ongoing followups.
  • Scan and attach client charts to electronic health record.
  • Contact clients with outstanding balances for payment and/or arrangements.
  • Collect all monies from inpatient and outpatient selfpay clients upon admission and follow up for additional days not paid at admission.
  • Process Referrals from the AWARE program.
  • Maintain monthly denial log by payor source and final determination for proper adjustments.
  • Complete monthly ongoing reports for Aware, and document person served contact in the Clinical records.
  • Complete other duties as assigned by supervisor.

  • Maturity and sensitivity to the special needs of PPBH clients while possessing the knowledge of behavioral health and medical conditions.
  • Ability to communicate persons served needs and information to behavioral healthcare staff.
  • Ability to utilize and navigate an electronic health record, Microsoft office software, and insurance verification websites.
  • Must possess an understanding for agency programs and make referrals to appropriate programs.
  • Must be service oriented with good customer service skills.
  • Must possess the ability to maintain client confidentiality.

QUALIFICATIONS, EDUCATION, AND/OR EXPERIENCE:

  • High School graduate or G.E.D. Certificate.

  • Ability to work a flexible schedule when necessary.
  • Ability to read and interpret documents.
  • Ability to write reports and correspondence.
  • Ability to speak effectively before groups or employees.
  • COMPUTER SKILLS: Must have Intermediate to advanced experience in MS Office Suite (Outlook, Word, Excel, PowerPoint), the use of personal computers, and standard office productivity software.
  • LANGUAGE SKILLS**:Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals

REQUIREMENTS:


  • A valid Class E Drivers' License for positions requiring driving personal or Agency vehicle on business.
  • Must maintain a minimum Bodily Injury & Property Liability insurance limit of at least $50,000 for positions that require driving personal own vehicle (POV) on Agency business. (Proof Required)
  • PPBH is a 24/7 Agency. All employees must be available as needed when required.
