General Summary:


The Community Events and Volunteer Services Assistant supports the day-to-day operations and administrative needs of both the Volunteer Services and Community Outreach departments.

This includes will assist with the coordination of assigned internal and external community events including but not limited to:
event setup, volunteers, marketing materials, communication, promotional items and other event resources. The Community Events and Volunteer Services Assistant is accountable for overseeing event preparation.

The assistant will also assist with the collection, monitoring and report out of the annual Community Benefit Report along with creating a quarterly newsletter to effectively report out the organization's community engagement and initiatives.


Knowledge, Skills and Abilities:


  • Associate degree in business, communications or related field, or an equivalent level education and experience, preferred
  • Office experience with a focus in project coordination, data collection and/or event facilitation preferred.
  • Strong project management skills with attention to detail and accuracy are essential.
  • Demonstrated written, verbal and interpersonal communication skills.
  • Takes initiative to complete work under limited supervision in a small office environment.
  • Works effectively and efficiently while managing multiple projects
  • Demonstrated ability to work effectively as a team member.
  • Ability to respond effectively to the sensitive inquiries or complaints.
  • Handles information of highly sensitive and confidential nature.
  • Ability to reason, define problems, collect data, establish facts, and draw valid conclusions.

Essential Functions and Responsibilities:


  • Assists with the recruitment, scheduling, and recordkeeping for volunteers.
  • Assists with intake of new volunteers and students and the placement of job shadows.
  • Collaborates with Marketing on event media, providing key event details, pictures and other visuals for social media as needed.
  • Assists with the coordination of event set up including staffing (volunteers & employees) venue, tents, tables, promotional items and marketing materials.
  • Maintains data on all events including attendance, volunteer hours and language assessment.
  • Manages the external events calendar for all prenatal and community education sessions ensuring classes schedules are added and/or updated.
  • Assists in gathering data for the annual community benefit report, focusing on opportunities to improve the data collection and report out processes.
  • Drafts, edits and provides a review of activity for the quarterly community engagement newsletter.
  • Maintains an inventory of promotional items and marketing materials.
  • Performs a variety of clerical tasks involving reports, forms, documents, newsletters and correspondence.
  • Performs other duties as assigned.

These may include but are not limited to:

Maintaining a current knowledge base of department processes, protocols and procedures, pursuing self-directed learning and continuing education opportunities, and participating on committees, task forces, and work groups as determined by management.
