- Coordinates alumni and external events and acts as a liaison between college departments, external relations, and marketing & communications offices. Work with all vendors to ensure event needs are met, and the spaces are prepared for use.
- Serve as lead coordinator for all external facing events in college. Consult with the Dean and/or departments to determine objectives and requirements for events and communicate event needs to relevant campus partners and vendors. Assists with venue set-up and preparation as needed.
- The college would like to be involved in (and perhaps co-sponsor) one event per fiscal year for each department, for example, a Texas Tech reception at a professional conference geared toward alumni and prospective students for recruitment or current students for career opportunity. The department would work with this position for planning the event. This may require some travel.
- Participate in campus-wide community of practice, building collaborations and co-branded events.
- Provide leadership and execute:
- Coordinate/Host local and regional alumni events (Distinguished Alumni, New Achievers, Homecoming, tailgates, etc.) including preparing invitation lists, sending invitations, managing RSVPs, writing event bios, working with event sites on and off-campus.
- Provide support and guidance to departments, programs, centers, and institutes for external events.
- Develop and manage alumni awards.
- Responsible for the coordination and planning of college events for that of the Dean or that support development efforts.
- Responsible for the execution and coordination of sponsorships as approved by the college for the college and/or the departments.
- Maintain master calendar of events and ensure all information is known to the Dean and on the Dean's calendar.
- Maintain college guidelines/OP for College Events.
- Coordinate orders for external event marketing collateral and digital material requests including printed pieces, event decor, email invitations, event graphics for social media, and other marketing materials to ensure proper university/college branding and cohesion.
- Collaborate with Marketing & Communications office to maintain the college brand across external relations and departmental collateral including swag items, event marketing materials, and special recognition materials.
- Work with Assistant Director for External Relations to:
- Develop communication plans for external relations events including emails, social media posts, digital invites/reminders, and/or printed invitations, etc.
- Outline content for events to include: Distribution timeline, location, time, audience, and other needs for communication pieces/invites
- Prepare event advisories for external and alumni events.
- Seek out and gather contact information to aid in alumni stories that will be used in E-Viewpoints and other college promotional outlets.
- Coordinate with the Marketing and Communications Office to:
- Identify alumni and external stakeholders for feature stories and newsletters.
- Gather content on for external event communication/marketing pieces.
- Coordinate multi-channel strategies to engage stakeholders; for example: purposeful events and activities, social media, digital and print publications that support external engagement.
- Collaborate and gather content for event communications (print and digital)
- Work with Assistant Director for external relations to maintain stock of the following:
- Swag organization to include inventory tracking.
- Stewardship card printing and delivery.
- Coordinate and serve as main contact for the State Employee Charitable Campaign for the College of Human Sciences. Develop marketing plan to raise funds to meet the annual fundraising goal for the college.
- Co-convene meetings of the COHS External Relations and Communications Committee.
- Attend monthly COHS Senior Staff meetings.
- Support overall function of COHS Dean's Office.
