Position Summary:_


The Bookkeeper will be responsible for all aspects of our financial record keeping, including the accurate and timely recording of financial transactions in
QuickBooks online, preparation of monthly financial statements, reporting and billing county grants.

Job Duties & Responsibilities:_


  • Full cycle Accounts Receivable, including maintaining customer / grant records.
  • Accounts Payable, including vendor records maintenance.
  • Multiple Bank reconciliations for all accounts.
  • Reconcile all balance sheet accounts, reviewing for input accuracy and prepare monthly reports and journal entries, as needed.
  • General ledger maintenance.
  • Support Human Resource Director with payroll and in making applicable insurance, benefit, voluntary deductions, and tax calculation payments as required by law.
  • Administration of quarterly business and payroll taxes.
  • Prepare monthly financial statements, cash flow projections, budget to actual and other financial information as requested.
  • Maintain required business documents.
  • Prepares annual 1099's
  • Track petty cash funds for all departments.
  • Assistance with the annual budget and audit process, including individual grant proposal budgets. Prepare required documentation for fiscal audits and monitoring.
  • Maintains familiarity with current funding source contract requirements; assumes responsibility for fund billing and compliance with fiscal reporting functions.
  • Assist Grant Administrator with the allocation of expenses
  • Assists with bidding on new Mental Health Contracts.
  • Assists with monitoring agency expenses and ensures they are within contract guidelines.
  • Assist with the annual audit.
  • Ensuring compliance to terms and conditions of contracts.
  • Sharing and clarifying contract processes, conditions and details with Executive Team
  • Prepares monthly billing for all Mental Health contracts.
  • Process Cost Reports at the end of the fiscal year.
  • Maintain financial documentation retention files
  • New vendor setup and maintenance
  • Deposit and cash reports
  • Prepare and/or review of all expense reports for accuracy and proper expense disclosure.
  • Perform accounting requirements for all Operation SafeHouse grants and contracts.
  • Create, implement and maintain an accounting manual.
  • Other duties as assigned.

Skills and Qualifications:_


  • Bachelor's degree in Accounting or equivalent experience
  • Proficient in accounting software (_
    QuickBooks Online Preferred_) (3-years minimum experience)
  • Experience with non-profit budgeting a plus.
  • Extensive knowledge of Generally Accepted Accounting Principals
5. 3-5 years Bookkeeping experience, Nonprofit Corporation experience preferred


  • Proficiency in Microsoft Office (Excel and Word required)
  • Ability to prioritize and multi-task
  • Highly organized and detail oriented
  • Able to complete tasks accurately and timely with mínimal supervision
  • Strong verbal and written communication skills
  • Thrives in a collaborative, team player office environment
  • Proven ability to maintain confidentiality
  • Valid California Driver's License with clean driving record
  • Must be able to pass fingerprint background clearance

Physical Demands:_

  • Considerable time is spent at a desk using a computer, printer, keyboard etc.
  • Occasional light work that includes moving objects up to 20 pounds.
