What You Will Do
As an Administrative Assistant you'll be instrumental in executing a diverse range of clerical duties and technical tasks, all the while providing invaluable support to the Temple office.
A Typical Day at Prime Controls
-
_ Office Management and Maintenance_:
- Ensure the office appearance is maintained to high standards.
- Manage and coordinate the maintenance of office supplies.
- Organize and maintain various filing systems and service logs.
_ Communication and Correspondence_:
- Handle the preparation and distribution of outgoing and incoming mail, including shipping and receiving packages.
- Process various types of correspondence, including letters, forms, reports, and documents.
- Assist in keeping customers and vendors informed with changes and status updates.
_ Equipment and Technology Management_:
- Issue and manage returns of equipment for both new hires and terminated employees, such as access cards, cell phones, and laptops.
- Assist with the tracking and calibration of tools (e.g., PIC's keys, gas monitors).
- Manage onsite badging issues and coordinate guest badges.
- Support IT in resolving technologyrelated issues.
_ Travel and Expense Management_:
- Organize travel arrangements, including hotel bookings and flight reservations.
- Assist with the preparation and submission of expense reports.
Project and Administrative Support:
- Update project trackers and schedules.
- Print and bind necessary files.
- Assist with the preparation of submittals and onboarding of new employees.
- Create service reports in Excel and run labor reports from hh
- Assist with creating and tracking Safety Improvement Plan Programs (SIPP's).
- Set up necessary accounts for onsite work (e.g., VEO, Procore).
_ Warehouse and
Material Management:
_
- Organize the warehouse and track materials received.
- Manage and coordinate any onsite badging issues for personnel.
What You Will Bring
_The Basic_
- 3 years' experience in office administration or a similar role.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite, especially Outlook and Excel.
- Ability to manage multiple tasks and projects simultaneously.
- Detailoriented with a problemsolving attitude.
