Summary:
Performs administrative and clerical duties by performing the following duties.
Duties and Responsibilities include the following but not limited to:
- Serves visitors by answering the door, greeting, welcoming and directly them appropriately.
- Function as liaison between management and various departments to facilitate smooth daily company operations.
- Screens telephone calls, and any incoming inquiries.
- Process inbound/outbound paperwork on a daily basis into our database and generate scale ticket records in a timely manner.
- Maintain accurate files in the pointofsale system on customers, jobs, products, trucking, and haul rates.
- Collate, scan and copy tickets for each job.
- Maintain project files for correspondence, business matters, and other related data.
- Provide clerical assistance and instruction to coworkers as needed.
- Maintain a courteous and professional attitude when dealing with coworkers, clients and subcontractors.
- Familiarize customers and truck drivers with traffic patterns and safety requirements of the site.
- Responsible for writing Customer Work Orders.
- Maintain strong communication between Mechanic Team and Operations.
- Scale House operations.
- Assist with Accounts Payable invoices and Purchase Orders/Work Orders to process Accounts Payable invoices.
- Assist with preparation of correspondence accurately from instructions and other provided information.
- Assist with tracking internal & external contracts as requested.

Ability to reach and interpret documents such as operating and maintenance instructions, and procedure manuals. Ability to write route reports and correspondence. Ability to speak effectively before groups of customers and/or employees of an organization.
Computer Skills:
To perform this job successfully, the individual should have knowledge of internet, Microsoft Office. PegEx, PC Scale, Sesame, and Sage 300 preferred but not required.
Education & Experience:
High school diploma or general education degree (GED); and one-year related experience and/or training, or equivalent combination of education and experience.
Certificates/Licenses:
Valid Driver's License
