JOB DESCRIPTION
The
Operations Administrator (OA) is responsible for meeting the operational needs of the center. The
OA role is designed to increase productivity and accountability within the center. By leading employee management, forecasting, documenting, and scheduling, the
OA will ensure the center is running efficiently.


The
Operations Supervisor will orchestrate weekly check points with
OAs to ensure the centers are meeting budget, optimizing labor utilization, and implementing company policies to encourage a culture of collaboration between operational and clinical aspects of the business.

It is expected for the
OA to be available to work during center hours, Monday-Friday,
(7:30-5:00 pm) when the clinics are open, as well as to make scheduling adjustments as necessary outside of business hours.


RESPONSIBILITIES:


  • Answering company calls
  • Corresponding with families regarding makeup sessions, availability changes, & holiday closures.
  • Corresponding with staff regarding client cancellations, schedule modifications, mileage, and center changes
  • Managing scheduling, staffing, budgeting, inventorying, & employee performance management
  • Implementing
    _Employee Handbook_ guidelines, specifically: PTO, attendance, dress code, professional conduct & disciplinary action procedures
  • Managing employee Paycom accounts: I9 verifications, granting/denying PTO requests, review/update employee demographic information, submit
    _Personal Transactions Forms_, and submit
    _Performance Discussion Forms_:
  • Ensuring completion of therapy conversions daily
  • Completing daily/weekly reports: daily utilization tracker, budget tracker, & call out tracker
  • Reporting breaches in
    HIPAA to
    _Quality Assurance Coordinator_:
  • Ensuring client dignity and confidentiality within the center
  • Resolving conflicts within center both _professionally _and _proactively_
  • Responsible for maintaining staff morale

QUALIFICATIONS AND EDUCATION:


  • Preferred: Bachelor's Degree in Psychology, Education, Applied Behavior Analysis, or Management
  • Preferred: Active or former RBT for
    _612+ months_:
  • Preferred: At least
    _6-12+ months_ of management or office administration experience in ABA or healthcare setting
  • Preferred: At least
    _612+ months_ of Supervisory Experience
  • Proficient in _Microsoft Word/Excel/EMR Systems_
