- Manage and maintain the team's schedule, including coordinating meetings, appointments, and travel arrangements.
- Coordinate customer on-site visits.
- Prepare and edit correspondence, memos, presentations, and other documents.
- Assist in the preparation of reports, analyzing data, and presenting findings to support decision-making processes.
- Prepare and submit expense reports, ensuring accuracy and compliance.
- Liaise with facility management vendors to maintain the office condition and arrange necessary repairs.
- Act as primary contact with property management and consult with San Antonio-based Contract Administrator when needed.
- Answer, transfer, and screen incoming calls when necessary.
- Greet visitors to the office and disposition accordingly.
- Maintain and order office supplies and consult the San Antonio Administrative Services Manager if needed.
- In collaboration with San Antonio Supply Chain, conduct physical inventory of the office and investigate any discrepancies.
- Partner with Human Resources (HR) to design and implement office policies and procedures.
- Work in partnership with the San Antonio HR and Administration team to coordinate quarterly luncheons, wellness program activities, and recognition events to support efforts to build a strong culture of engagement at FBD.
- Perform other duties as needed and assigned.
- Must have a High School Diploma.Bachelors' degree highly desired.
- Must have a minimum of 4 years of experience as an Administrative Assistant.
- Excellent organizational and time management skills.
- Proven ability to prioritize tasks and meet deadlines.
- Ability to work independently in an office setting.
- Attention to detail and high level of accuracy.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Proficient with MS Office (Word, Excel, PowerPoint, and Outlook).
- Must have collaboration and excellent communication skills because of daily contact with internal employees and customers.
- Must be able to pass a background check, drug test and a reference check.
- Required to have eye/hand/foot coordination, sit, type, occasionally, stand, walk, lift, push, pull, carry, reach, and grasp.
- Ability to lift and/or move up to 20 pounds.
- This position works in a typical office and manufacturing environment.
- Clarity of vision including the ability to appropriately differentiate colors.
- Ability to hear, understand, and distinguish speech and other sounds.
