Role Overview:
As an
Administrative Specialist in our Youth Services program, you will play a pivotal role in supporting our mission by providing exceptional administrative assistance.
Responsibilities include:
- Provide departmental reception services, receiving and directing visitors or calls.
- Prepares reports and presentations, often of a complex or confidential nature.
- Supports organization of marketing materials, reception area, case management offices, and Mill You program to ensure a welcoming, inclusive and informational environment.
- Organize and assist in planning meetings, events, and hosting client visits internal/external. This includes maintaining and organizing meeting minutes and documentation.
- Ensures that departmental operations comply with organizational policies and procedures. Participates in and contributes to special projects as directed by the department head.
- Receives and responds to correspondence and maintains departmental records.
- Communicate with vendors to ensure that administrative or program needs are maintained.
- Serve as the liaison with CTI administrative offices and Division to ensure follow through and completion of all administrative tasks.
- Collaborate with Youth Services "Front Door" staff to communicate/engage needs of young adults accessing the Youth Opportunity Center.
- Participate in trainings to support a youthfocused, trauma informed lens.
- Participate in program meetings as required.
- Performs other related duties as required.
Qualifications include:
- High School or Equivalent.
- Prior relevant experience preferred.
- Ability to build collaborative relationships.
- Excellent customer service, organizational, interpersonal, oral and written communication skills.
- Ability to work well under pressure with good problem solving and decision making skills.
- Ability to manage multiple priorities and work in a fastpaced environment with mínimal supervision.
- Excellent attention to detail and ability to maintain confidentiality.
- Excellent teamwork skills.
- Proficient Computer Skills to Include Windows, Microsoft Word, Excel, Internet, and comfort learning new software and tracking systems.
- Must be able to work a flexible schedule including evenings and weekends.
- Bilingual skills (English/Spanish, English/Khmer, English/Portuguese) preferred.
