Summary:
Responsible for maintaining the appearance of the reception and lobby area. Provide excellent
customer service to visitors, families, clients, and staff. Answer the phone and direct calls
appropriately, welcome visitors, and direct them to the waiting area. Assist with general office
support duties such as photocopying, faxing, light typing, and assisting with special projects.
Qualifications:
Education:
High School Diploma or GED
Experience:
Three years of administrative or customer service-related experience. Proven experience in an administrative or customer service role. Proficiency in Microsoft Office Suite is required. Database Management experience preferred. Excellent verbal and written communication skills.
Bi-lingual a plus.
Required Credentials:
All employees must pass a background screening and drug test for employment.
Responsibilities:
Welcome visitors by greeting, welcoming, and directing them appropriately; notify company personnel of visitor arrival; answer or refer inquiries
Answer incoming calls utilizing appropriate Easterseals SWFL greetings and direct calls to appropriate personnel.
In accordance with security, welcome guests (visitors, vendors, etc.) entering the building, complete the background check through the security system, issue a visitors' badge, and once cleared, notify staff of the individual's arrival.
- Maintain an inviting reception area ensuring it is neat and organized to reduce potential safety hazards and enhance its general appearance. Ensure the TV in the lobby and conference room is turned on and off daily.
Open, sort, and distribute incoming mail; process outgoing mail and coordinate pick-up and delivery of express mail services (FedEx, UPS and/or USPS)
Maintain postage register and report monthly to Finance.
Assist with other related clerical duties such as photocopying, faxing, and collating.
Distribute and keep an inventory of company cell phones and tablets. Keep phones & tablets charged.
Update company-wide employee directory monthly.
Comply with Easter Seals policies and procedures utilizing the highest standards of personal and professional ethics and behavior.
Demonstrate good judgment, diplomacy, courtesy, and effective communication while working at Easter Seals or when representing the organization.
Other duties as assigned.
