Opus Wealth Management, a wealth management firm based in Lisle, Illinois, is presently seeking an Executive Assistant.


Position Summary:


The Executive Assistant is responsible for effectively performing administrative tasks, including the preparation of paperwork for account openings, maintenance requests, beneficiary changes, and managing phone communications.

This role entails maintaining administrative functions like calendar management and utilizing tools such as Redtail for efficient task management.

Providing ongoing service and support to clients, resolving their requests in a timely manner, is a critical aspect of the position.

The Assistant also offers support to team members through tasks like scanning and filing documents. Additionally, this role involves executing trades and working independently and efficiently to ensure seamless operations.


Essential Roles and Responsibilities:


  • Perform administrative tasks effectively, including preparing paperwork for account openings, maintenance requests, and beneficiary changes.
  • Maintain administrative functions such as calendar management and utilize tools like Redtail for efficient task management.
  • Provide ongoing service and support to clients, ensuring their requests are resolved in a timely manner.
  • Support team members by assisting with scanning and filing documents.
  • Execute trades accurately and in accordance with established procedures.
  • Work independently to manage daily workflows efficiently.
  • Collaborate with Financial Consultants to ensure continuity of service for clients in their absence.
  • Uphold the highest standards of professionalism and client care in all interactions.

Daily and Monthly Responsibilities:


  • Prepare and process paperwork for account openings, maintenance requests, and beneficiary changes daily
  • Update and maintain the calendar for Financial Consultants, scheduling appointments and meetings as needed on a daily basis.
  • Utilize Redtail CRM to organize and manage client information effectively, ensuring accurate data entry and timely followups daily.
  • Assist clients with inquiries and requests, providing timely and accurate responses or directing them to the appropriate team member daily.
  • Scan and file documents efficiently to ensure accurate recordkeeping and easy retrieval as part of daily tasks.
  • Monitor market trends and news for potential trade opportunities and communicate relevant information to the team regularly.
  • Execute trades accurately and promptly in accordance with established procedures and client instructions daily.
  • Conduct periodic reviews of client portfolios and prepare reports detailing performance and recommendations for adjustments monthly.
  • Coordinate and participate in team meetings to discuss strategy, client updates, and any operational issues monthly.
  • Assist with the preparation of presentations and materials for client meetings or seminars monthly.
  • Collaborate with other team members to ensure compliance with regulatory requirements and internal policies on an ongoing basis.

Essential Qualifications:

Education and Certification

  • High School Diploma or GED required.
  • Bachelor's degree preferred.
  • Series 6 or 7/66 Securities License preferred
Experience

  • A minimum of 5 years of professional administrative or office management experience required.
  • Experience with Redtail CRM for client information management preferred
  • Knowledgeable in financial markets and trade execution
