    Overview

    The Undergraduate Administrator (UA) provides a high level of support for the Director of Undergraduate Studies (DUS) and all undergraduate concentrators and students seeking a minor in Philosophy. The UA interacts directly with residential college deans and directors, and department faculty, and maintains regular contact with the office of the Dean of the College, the Registrar, and other central University offices. Using independent judgment and taking the initiative to solve problems, the position requires the ability to multitask and prioritize. The position manages the planning and implementation of courses that are taught abroad. Utilizing university systems, the position handles the process for undergraduate funding related to senior thesis research, and international courses held abroad. The UA will be responsible for assigning Assistants in Instruction to Philosophy undergraduate courses. The UA will manage an undergraduate fund for PHI Majors traveling abroad to attend Philosophy courses (specifically Plato in Paris and Kierkegaard), and works very closely with the Office of International Programs on budget for faculty teaching the summer course and students attending. The UA will manage all aspects of philosophy academic searches (Faculty, Post-Docs and Lecturers) and will work closely with the department's appointments committee and chair up until the appointment process of the candidate(s). The UA will manage the undergraduate work study students and the department's EMS system, UG website, all undergraduate yearly events. This position reports to the department's Manager of Finance and Administration and consults closely with the DUS.

    Responsibilities

    Undergraduate Administrator (UA): Provide a high-level of administrative support for the Director of Undergraduate Studies in all duties associated with the undergraduate program, including preparation of materials for the Curriculum Committee. Communicates the requirements and deadlines of the Registrar and the Dean of the College. Required to manage CIS system for courses, Undergraduate Announcement, Degree Progress Report, course applications, fall and spring day/time schedule for both UG and Grad course and classroom assignments. Schedules Comp Exams, organizes all undergraduate events; Class Day, Princeton and Beyond dinner, Academic Expo, UG Colloquium and Undergraduate Open House. Coordinate special exams with the Office of Disability Services and the Office of the Registrar. Canvas or similar platform knowledge for faculty needs. Knowledge of FERPA laws and administers work under these guidelines. Using SAFE, process payments for Philosophy majors attending summer PHI courses abroad, and senior thesis research and undergraduate independent work. The UA is responsible for oversight of all philosophy majors and minors; respond to student and prospective student inquiries; analyze and update degree progress reports to ensure that students are meeting department and graduation requirements; Disseminate University and departmental student policies; gather and analyze student data for reports and decision making; maintain student and alumni records. Responsible for managing undergraduate program budget and financial reporting ($50K). Responsible for maintaining the UG website and Class Day Program. Maintain canvas sites; monitor course enrollments; handle texbook orders; proofs and submit CAFSIS reports; and assist faculty with academic policies.

    Academic Searches: Provide high-level administrative support for the Search Committee Chair and members. Place all search advertisements for Faculty, Postdocs and Lecturer positions in AHIRE, Jobs for Philosophers and Chronicle for Higher Education. We normally receive 350+ applications for each posting. Manage all applications of the search which include, disposition candidates, general letters to candidates, creating search reports, etc. while keeping the committee up with due dates and processes.

    Manage the Event Management System (EMS) 1879 and Wooten Halls. Maintains spaces for seminars, classes and lectures. Workstudy Students: The UA will manage two (2) ug workstudy students each semester and the student will report directly to the UA to receive their daily list of duties. The UA will create a work schedule for the student.

    General Office: Place facility work order requests for department, order supplies when needed, create name tags for offices. Although the following tasks are primarily the responsibility of others within the department, the UA ust be willing as necessary to direct visitors, order supplies, distribute mail, help with in house events, and generally offer students and faculty support.

    Qualifications

    Essential

    • Bachelor's Degree and 3 to 5 years' of related work experience preferably in a University setting working with faculty and students.
    • Excellent verbal and written communication skills; strong organizational skills; exceptional analytical and problem-solving skills and effective engagement with public, faculty, staff and students at all levels.
    • Must be detail-oriented and responsive to deadlines. Must possess a demonstrated ability to gather, analyze and present data; take positive approaches to tasks, work independently, take initiative, have the ability to prioritize tasks, and function effectively as part of a small and highly collaborative team.
    • Demonstrated ability to use excellent judgment, maintain confidentiality and discreetly handle sensitive information. Knowledge of PeopleSoft, PRIME, Concur, SAFE, Canvas, CIS, as well as Microsoft Office applications.
    • The position requires the need to keep current on training and changes to university systems

    Preferred

    • Prior University experience preferred, including knowledge of University policies and procedures.
    • Experience with Course Information System (CIS), PeopleSoft, concur, Canvas, Student Activity Funding Engine (SAFE).
    • Familiar with Princeton University administrative environment.
    • The individual should be able to work independently as well as part of a team
