Description
The role of an Executive Operations Coordinator is multifaceted and pivotal to the organization's success.

Responsible for overseeing the day-to-day operations and serving as the main point of contact for Carl Gambino and the agents on the team, the Executive Operations Coordinator ensures that all aspects of the business run smoothly and efficiently.

They play a key role in maintaining quality standards, ensuring compliance with regulations, and resolving operational issues as they arise.

The Executive Operations Coordinator will report to the Principal and VP of Operations and actively participate in strategic planning, providing valuable insights and recommendations to enhance processes and drive growth.

The position will be based in the Compass New York Office._

  • Document and Transaction Management
○ Provide comprehensive administrative support to Carl Gambino and the team agents

○ Prepare, review, and execute all contracts including listing agreements, offer letters, deal sheets, and invoices

○ Liaison between Marketing Director and Agent for property preparation; input and facilitate properties on

○ Compass, Streeteasy, One Key and MIami Matrix sites

○ Oversee escrow communication with clients, attorneys and team agents

○ Assist with Board Packages for Carl Gambino

  • Calendar Management
○ Work closely and effectively with Carl Gambino to keep him well informed of upcoming commitments and responsibilities and follow up as necessary

○ Schedule showings, organize and monitor his calendar daily

○ Maintain schedules, deadlines and project status for each transaction/listing

  • Listing Coordination
○ Assist with scheduling and coordinating/attending staging, photography, floor plan appointments for new listings

○ Hold opens and show properties as needed

  • Client Communications
○ Market knowledge is critical, quickly be able to create CMA reports / comps for Carl and his clients

○ Interacting with clients, prioritizing and managing clients needs

  • CRM Management
○ Maintain clients records

○ Professionalism and confidentiality


Pay:
From $70,000.00 per year


Ability to Relocate:

  • New York, NY: Relocate before starting work (required)
