Job Summary:
Assist with creating and facilitating activities, events and entertainment, including ticket sales. Requires varied hours including weekends and holidays. Administrative duties requiring both strong computer and communication skills. Assist with calendar, website updates, newsletter, event and movie flyers. Interact with external and internal customers, including RCSC personnel, cardholders and vendors. All other duties and responsibilities as assigned.


Duties and Responsibilities:


ACTIVITIES

  • Assist with creating and facilitating events and entertainment assuring enforcement of lifesafety practices.
  • House management & frontend operation/support for events.
  • Assist in researching and purchasing special event related props and supplies.
  • Distribute event flyers to be accessible to residents and guests.
  • Provide updated information for events, entertainment and activities for the website and newsletter in a timely manner.

RESERVATIONS

  • Oversee all reservation processes including contracts, schedules, deposits/refunds, correspondence with renter and facilities team for room set up including floor plans, audio/visual and sound equipment.
  • Communicate with RCSC personnel regarding setups including audio/visual and any changes for events and nonclub rentals.
  • Maintain records in Rec Trac system.
  • Respond to inquiries by telephone and in person regarding activities, special events and nonclub facility rentals.
  • Conduct sales transactions of tickets for concerts.
  • Generate check requests for security deposit refunds when applicable.
  • Reconcile and balance financial transactions daily. Prepare appropriate documentation and paperwork reflecting deposits, credits, refunds, etc.

Qualifications:


  • Two years activities experience preferred, preferably in a 55+ community.
  • High proficiency with Microsoft Office Suite _(Word, Excel, Outlook and Power Point)_

  • Two years administrative and customer service experience
    _required_.
  • Prior experience using Excel _on a regular basis_ in a work setting.
  • Experience with scheduling and daily financial reconciliation.
  • Familiarity with point of sale, room rental reservation and web based software.
  • Experience with Rec-Trac room rental reservation software and Total E Golf (TEG) point of sale software program experience preferred.

Knowledge, Skills and Abilities:


  • Ability to effectively communicate and establish working relationships with RCSC personnel, cardholders, performers, promoters and staff.
  • Ability to use Excel, Word and Outlook.
  • Knowledge of lifesafety practices.
  • Ability to consistently maintain excellent customer service, whether in person or over the telephone.
  • Ability to maintain calm and confident with irate and/or unreasonable customers.
  • Ability to maintain complete and total confidentiality when required.
  • Ability to work independently, multitask and adjust to frequent interruptions and changing priorities.
  • Considerable knowledge of office practices and procedures, business language, filing, administrative operations, spelling, grammar and mathematics.
  • Ability to compose correspondence, contracts and documents with excellent proofreading and editing skills.
  • High degree of accountability, initiative, dependability and originality.
  • Ability to obtain and maintain a valid state of Arizona driver's license.
