Administrative Clerk - Pass Office

Purpose:

Colonna's Shipyard is seeking an Administrative Clerk to support our Security Pass Office, administering the badging/access credential program and supporting security efforts in Norfolk, VA.


The Pass Office Clerk is a highly visible customer service role, providing a professional and welcoming environment for all employees and guests, while supporting Pass Office operations.

The Clerk will use approved access lists and supporting documentation received from employees, customers, contractors/ subcontractors, vendors, temporary resource agencies, etc.

to create and manage identification badges for access into Colonna's Shipyard's facilities.

This full-time, onsite position may require occasional flexibility in working hours as well as hours beyond a standard workweek to accommodate business needs.


Responsibilities:


  • Serve as the initial point of contact badging representative for Colonna's Shipyard, serving all customers, employees and guests with the utmost level of respectful service.
  • Maintain tracking records and filing systems, archives files, as necessary.
  • Assist the Access Coordinator and other staff with processing access requests received from employees, customers, vendors, contractors / subcontractors, and temporary agencies. Verify that all requested information is received, review the information for accuracy, deny access to individuals without required identification/documentation, issue accesses as authorized, and save access information on appropriate network drive (and may provide paper copies to be viewed by Security).
  • Verify that all supporting documentation is provided by the submitting company for any nonUS citizens and alert Access Coordinator/management with regard to noncitizen requests.
  • Provide general administrative support for the Access Coordinator and Security Manager.
  • Assist with badge issues, provide visitor information support, directions, and assist in contacting visitor's point of contact.
  • Maintain accurate files for all access requests and supporting documents in an auditready state.
  • Perform various badging functions (new hire, current employees satellite office locations, job sites).
  • Assist with onboarding and outprocessing of personnel (to include badge creation and destruction) as well as assist in updating accesses for personnel.
  • Ensure the access system, privileged information, and other key components are maintained securely and personnel information, along with personal identifiable information (PII), is maintained confidentially and only available to those with a _need to know_ status.

Qualifications:


  • Must have a HS Diploma or equivalent and at least 1 year of relevant experience (such as administrative, customer service, or security).
  • Must have strong and effective interpersonal skills, and exceptional communication skills (both verbal and written).
  • Must work with a sense of urgency and display professionalism at all times.
  • Must be flexible adapting to frequent changes in the work environment while maintaining a professional and supporting demeanor.
  • Must complete work accurately and thoroughly, with a keen sense of detail orientation.
  • Must be able to prioritize and handle several tasks simultaneously.

Preferred Qualifications:


  • Previous experience supporting work efforts of government, federal contractors, or shipyard/industrial industries highly preferred.

Physical Requirements:


  • Remaining in a stationary position, often standing, or sitting for prolonged periods.
  • Moving about accomplishing tasks or moving from one worksite to another.
  • Communicating with others to exchange information.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Position also requires physical and mental abilities to safely navigate shipyard and industrial fabrication environments.
