Executive Assistant to the CEO
Job description:
As the Executive Assistant to the CEO, you will play a critical role in supporting the CEO in his daily activities and ensuring a smooth operation of the executive office.
This position requires a highly organized detail-oriented individual with excellent communication and interpersonal skills, as well as the ability to handle sensitive information with confidentiality and discretion.
Responsibilities:
1.
Calendar management:
Efficiently manage the CEO's calendar including scheduling meetings appointments and travel arrangements anticipate scheduling conflicts and proactively resolve them to optimize the CEO's time.
3.Meeting Coordination:
Prepare agendas, materials, and presentations for meetings attended by the CEO. Take accurate minutes and follow up action items to ensure timely execution.
4.
Travel Arrangements:
Coordinate travel logistics for the CEO including booking flights, accommodations, transportation, and preparing travel itineraries. Anticipate and address any travel related issues or changes.
5.
Information Management:
Maintain and organize filing system for important documents records and contacts ensure that the CEO has access to relevant information and documents when needed.
6.Executive Support:
Provide administrative support to the CEO as needed including expense reporting, budget tracking and other tasks to facilitate their day-to-day activities.
7.Project Assistance:
Assisting the CEO and managing special projects and initiatives, conducting research analyzing data and preparing reports as required.
8.
Confidentiality:
Handle confidential and sensitive information with the utmost discretion maintaining a high level of professionalism and integrity at all times.
9.Relationship Management:
Cultivate positive working relationships with internal and external stakeholders representing the CEO's office with professionalism and diplomacy.
Qualifications:
- Bachelor's degree in business, Administration Management, or related field preferred.
- Proven experience as an executive assistant or similar role supporting C level executives.
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fastpaced environment.
- Strong written in verbal communication skills with meticulous attention to detail.
- Ability to exercise sound judgment and discretion when handling competitive information bullet point flexibility and adaptability to accommodate shifting priorities and unexpected changes.
- Professional demeanor and strong interpersonal skills with the ability to interact effectively with individuals at all levels.
- Experience in project management and research capabilities are a plus.
- Experience working as an assistant in the financial services sector is a HUGE plus

$60, $75,000.00 per year
