Part Time Administrative Assistant
The Restless Legs Syndrome Foundation is a 501(c)(3) nonprofit patient services organization supporting the RLS community.

The Administrative Assistant's role is to support the work of the Executive Director and staff to ensure efficient day-to-day operation of office activities.

Reports to Executive Director.


Responsibilities
The Administrative Assistant will perform a wide variety of duties that include some or all of the following:

  • Reception_
  • Answer telephone calls in a courteous and professional manner
  • Reply to general information requests with correct information in a helpful, compassionate and friendly manner
  • Direct phone calls to appropriate staff members
  • Welcome visitors, members and vendors to the RLS Foundation in a friendly, professional manner
  • Office Administration_
  • Process incoming dues and donations, make online deposit and deliver daily report to Membership Coordinator
  • Manage incoming and outgoing mail, packages and courier deliveries for distribution
  • Purchase, distribute and maintain adequate levels of office supplies
  • Perform routine activities to maintain constituent records in Blackbaud Raiser's Edge
  • Code, file, and efile office documents according to established office protocol
  • Coordinate the maintenance of office equipment
  • Provide clerical and administrative support to Executive Director and staff
  • Blackbaud, Zoom, and Doodle Software experience helpful but not required
  • Print and mail all donor acknowledgement and new membership packets
  • Assemble new member packets
  • Fulfill any literature or Shopify orders
  • Participate in weekly team meetings
  • Share topic ideas in quarterly content meetings for the Foundation's quarterly news magazine, _NightWalkers _and monthly enewsletter_, eFriends_;contribute articles for each of these publications
  • Assist with office cleaning duties as assigned on monthly staff schedule
  • Assist as requested in other organizational activities/programs, demonstrate willingness to provide assistance to others as needed
  • Provide Board Support_
  • At the direction of the Executive Director, manage activities related to both Foundation Board activities, including maintaining meeting calendars, making meeting and travel arrangements, distributing meeting communications including agendas, meeting minutes and supporting documentation.
  • Develop and maintain a directory, calendar and an action list for each Board and Board committees
  • Manage and order awards and items of recognition and appreciation for board members

Qualifications

  • Education_
  • College Degree in Business, Education, English, Marketing, Medicine, Public Relations, Social Work or similar field.
  • Proficiency in Microsoft Office Suite required
  • Proficiency in Blackbaud CRM is a plus but not required
  • Experience_
  • Midlevel with 35 years' experience in an office setting. Salary commensurate with experience.
