Qualifications:


  • 3+ years of administrative/office assistant experience required
  • Experience working administratively in HVAC, electrical, plumbing or other related trade industries required
  • Proficiency in CRM and/or project management software used for scheduling, task management, and tracking customer communications
  • Associates degree preferred

Knowledge & Abilities:


  • Understanding of HVAC systems, components, terminology, and industry standards to facilitate effective communication and coordination with customers, field crews, and program managers
  • Ability to identify and address potential issues or challenges that may arise during project execution to ensure project success and customer satisfaction
  • Strong collaborative skills to work effectively with crossfunctional teams, including field crews, program managers, and other administrative staff, to achieve project goals
  • Commitment to ensuring high levels of customer satisfaction by delivering quality service, addressing customer concerns promptly, and maintaining open lines of communication throughout the project lifecycle
  • Strong organizational skills to maintain accurate records, track project progress, and manage documentation for multiple projects simultaneously
  • Experience in assigning tasks, allocating resources, and deploying workers efficiently to meet project requirements and deadlines
  • Capacity to adapt to changing project requirements, priorities, and customer needs, while maintaining a high level of professionalism and customer service

Responsibilities:


  • Coordinate scheduling and dispatching of field crews for HVAC projects, ensuring efficient allocation of resources and timely completion of tasks
  • Manage calendars and schedules, including assessments, jobs, inspections, and project timelines, to facilitate smooth project coordination and communication
  • Connect new HVAC leads with a Greenlink Energy Advisor, ensuring their needs are met and satisfaction is maintained.
  • Maintain accurate records of customer communications, installation activities, repairs, inspections, and equipment specifications
  • Facilitate effective communication and coordination between customers, field crews, and the office, providing regular updates on project status and timelines
  • Monitor project progress, identify potential issues or challenges, and implement corrective actions as needed to keep projects on track and within budget
  • Continuously evaluate and optimize project management processes and procedures to improve efficiency, productivity, and customer satisfaction

Pay:
$45, $55,000.00 per year

Experience:
