Milrose provides a comprehensive suite of building compliance solutions to the industrial, academic, healthcare, institutional, residential, commercial, retail, and entertainment business sectors.

Services provided by Milrose Consultants, Permit Advisors, and Integrated Group include but are not limited to:

Code Consulting, Zoning Analysis, Special Inspections, and Permit Expediting services for New Buildings, Interior Alterations, Permits, Violation Research, Violations Dismissals, Letters of Completion, and Certificates of Occupancy.


Summary:


The Project Manager Level 1 (PM-L1) is responsible for assisting the Project Manager Level 2 (PM-L2) in all tasks required for the completion of a project from filing through signoff.

The PM-L1 learns all aspects of the job, ensuring continuity in the absence of the Project Manager Level 2 (PM-L2).


Responsibilities:


  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Coordinates with the PM-L2, Filing Representative, and Project Coordinator to assist in planning, coordinating, and leading project activities to ensure the attainment of objectives and schedules.
  • Is the backup to the PM-L2 in providing updates to relevant stakeholders on project milestones such as but not limited to filings, approvals, permits, letter of completion, occupancy, and other municipality updates.
  • Completes project deliverables and ensures quality control.
  • Acts as secondary point of contact on projects for all internal departments and is responsible for cross reviewing packages with PM-L2 before releasing submission to municipal agency. Must be aware of status on all team projects.
  • Updates WAVE (Milrose Internal System) regarding receivables, service completion, pertinent project information notation and project updates.
  • Reviews all new job folders and gathers all necessary information required for production of forms.
  • Adheres to company's standard operating procedures to successfully execute tasks.
  • Follows up and coordinates all documents and plans in a timely manner with the external/internal stakeholders.
  • Responsible for tracking all submittals with the various municipalities from filing through signoff or occupancy, as required.
  • Prepares municipality documents for Field Representative's submission of filing, permits, objections, variances, etc.
  • Schedules appointments with Plan Examiners at various municipalities.
  • Distributes approval packages, permits, variances, or municipality updates to contractors, clients, etc.
  • Notifies PM-L2 of any problems that arise during a project to work towards resolution.
  • Achieve monthly productivity goals/expectations set by the Production Manager and/or Director.
  • Attend project meetings and conference calls as needed to assist the PM-L
  • Acts as filing representative as needed.
  • Performs additional duties as needed.

Education and/ or Experience:


  • Bachelor's degree and two to four years of comparable experience required.
  • Strong communication skills, both oral and written, are a must as are solid listening skills.
  • Must be a team player with strong initiative, a desire to learn and able to complete tasks independently on project as directed by manager or PM-L
  • Must possess strong organizational and problemsolving skills along with the ability to multitask and work independently.
  • Experienced in reading and comprehending engineered drawings.
  • Ability to research, adapt, interpret, communicate with different municipality portals or websites.
  • Proficient in use of computer with Microsoft Word, creation and editing of Excel, creation of Powerpoint presentations, Outlook, Teams, annd Adobe Acrobat skill sets.
  • Experienced in Salesforce platform.
  • Must work independently, as a team, and collaborate with other internal departments.

Customer Service:

Demonstrate flexibility in satisfying customer demands in a high-volume production environment. Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude either verbally or written communication.


Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
