Position Title:
Office Manager / Executive Assistant


Reports to:
General Manager/CEO


Supervises:
N/A


Position Summary:


  • This critical role is the first impression Club members and guests receive in person and with incoming phone calls. This key leader will ensure the smooth operation of our office by providing highlevel support to our executive team. This position will report directly to the General Manager/CEO.

Office Management

  • Serves as the primary point of contact for club members and their guests, vendors, suppliers, and service provider and provides club information as needed to members and guests.
  • Takes reservations for Club events and supports team with day of execution for specific events.
  • Oversees daytoday office operations, including handling a highvolume of incoming phone calls, manages supplies procurement and equipment maintenance when necessary.
  • Ensures office policies and procedures are followed, and maintains a clean and organized work space.

Executive Support:
  • Manages event calendars, and meeting schedules.
  • Prepares and organizes materials for meetings, presentations and reports.
  • Assembles New Member and Wedding and Event packets.

Administrative Support:


  • Creates event flyers as needed to assist Communications Director.
  • Maintains digital signage marketing platform.
  • Manages Club website and ensures content is always accurate and up to date.
  • Coordinates scheduling of internal and external member communications.
  • Assists with onboarding of new staff members, manages staff contact database, including phone directories and assists with our Staff incentive programs (Birthdays, anniversaries, etc.)
  • Helps plan and coordinate team orientations, safety programs, events and special projects.

Team Support:


  • Supports all members of the Senior Leadership team with administrative tasks as needed.
  • Fosters a positive and productive work environment by providing assistance and support where necessary.

Qualifications:


  • Proven experience as an Office Manager, Executive Assistant or similar role (Hospitality Industry a Plus)
  • Strong organizational and multitasking skills with attention to detail and ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite (Word, Excel, Power Point, Outlook and other marketing software like Canva or Poster My Wall is a plus).
  • Discretion and confidentiality when handling sensitive information.
  • Resourcefulness and ability to problemsolve independently.
  • High energy, outgoing personality
  • Diplomatic team player able to foster relationships with Members, employee partners and guests
