Description
:Summary/objective:
The Field Service Coordinator is responsible to ensure an exceptional customer experience in all aspects of service requests including call routing, quoting, scheduling, billing, and managing field service operations.
Job duties include regular communication with customers, service technicians, and sales personnel to discuss the required service scope and resources for each service job.
This position will manage the required spare parts for service jobs by communication with Inside Sales representatives. Excellent computer skills including word processing, spreadsheets, and customer service software skills are required for this position.The responsibilities include working with Applications, Sales, Engineering, and Project Management to estimate and coordinate resources for equipment installations, rebuilds, and regular field service jobs.
To be successful in this position the candidate needs to have a very good understanding of machine operations and food packaging machine service requirements.
Good communication skills to discuss service needs and service requirements with customers is a must.Essential Functions:
Work in a team with Field Service Technicians, the Service Manager, and Engineering to manage group schedules, installation, and service jobs.
Prepare quotes according to company guidelines - training will be offered.
Prepare service contracts in close coordination with Service Manager and customer service representatives.
Strong customer focus and the ability to understand customer needs.
Lead departmental communication improvements including Microsoft Teams, and other Office365 applications.
Manage required spare parts for service jobs and review with Customer Service Specialists (CSS) order and shipment status of needed parts.
Customer service hotline - On call in rotation with service technicians after hours/weekends/holidays as needed.Monitor service orders to ensure that they stay within budget.
Risk analysis for large scale service proposals.
Review of field service reports and distribution to customers and internal resources.
Prepare and review time sheets, and expenses for invoicing - transfer of information to accounting group and customers.
Provide site specific safety requirements to each Field Service Technician prior to the service job.
Support of the Technical Service Experts with equipment documentation and drawings.
Assist the Service Manager in scheduling training as needed.
Assist the sales department and President with trade show logistics and materials as needed.
Requirements:
Education & Experience:
Associate or bachelor's degree in business administration or mechanical engineering preferred.
3-5 Years field service support experience
Certifications and Licenses:
Valid driver's license and good driving record.
Knowledge, Skills, and Abilities:
Strong mechanical aptitude.
Highly organized.
Proficient in Windows based programs such as Word, Excel, Power Point, and Outlook.
Strong communication skills, verbal, and written.
Excellent customer relations skills.
Food packaging or other field service industry experience.
Supervisory responsibilities:
This position co-manages the Field Service Technicians with the Service Manager.
Work environment:
Shop environment & cubical environment. Noise level is moderate when machines are running.
Physical demands:
Be able to lift and/or move up to 25 lbs. Able to sit, stand, stand, stoop, and walk for extended periods of time.
Travel:
Limited travel may be necessary for trade shows and or customer meetings. Travel less than 5%.
