Job Summary


The Order Administrator is primarily responsible for order processing and time keeping for the assigned pump repair facility or facilities.

Order Processing includes order entry, invoicing, cost entry.

This is a dynamic position requiring a high level of organization, self-discipline, and the ability to work in a team environment.

An understanding of business concepts and the ability to understand and interpret Terms and Conditions are a plus. The Order Administrator will report to the Order Administration Manager and matrix to the local site leader. Additional responsibilities MAY include supporting SHEA activities, individual employee training records, invoicing, and contract review.


Essential Duties and Responsibilities

  • Daily time keeping
  • Order processing
  • Booking orders
  • Contract review
  • Order Acknowledgement
  • Order Invoicing
  • AR follow ups and dispute management
  • Record NCR labor properly
  • Job file creation
  • Record scanning
  • ERP data system processing
  • Facility communications

Preferred Qualifications

  • High school diploma or equivalent, college degree or some college preferred
  • Highly organized
  • Experience with Microsoft Office tools; Excel, PowerPoint, Word, Outlook, etc.
  • Some general accounting knowledge or experience is a plus
  • Capable of quickly establishing credibility, influencing constituencies, and persuading professionals at all levels.
  • Experience working with or for rotating equipment or other industrial environments is a plus
  • Prior experience working in the fastpaced and unpredictable environment around repair services.
  • Strong drive to make things happen and a strong "can do" attitude

Skills and Capabilities

  • Strong written and oral communication and presentation skills with the ability to speak and communicate effectively with various audiences at the site level. Capacity to effectively present information and respond to questions from supervisors and managers at multiple levels of the organization
  • Ability to work independently
  • Experience operating in an ERP system
  • Ability to prioritize and manage multiple tasks in a fastpaced and changing work environment
  • Strong analytical and problemsolving skills, in addition to interpersonal, teamwork skills
