JOB SUMMARY


The Accounts Payable Specialist reports to the Senior Accounting Manager and is responsible for ensuring all payment requests are properly approved and documented.

They ensure that vendors are paid on time to prevent any service disruptions and maximize cash flow opportunities.


DUTIES AND RESPONSIBILITIES

  • Receive invoices from vendors and forward them to department managers for review and approval. Verify payment requests for accuracy in documentation and necessary approval. Enter approved invoices and contractual obligations into the accounts payable system.
  • Prioritize invoice processing to take advantage of discounts, prevent penalties, and adhere to payment terms.
  • Collaborate with Material Managers to ensure timely purchase orders for medical supplies, manage costs, and verify vendor invoices.
  • Review expense reports, ensure compliance with company policies, and process payments accordingly.
  • Maintain necessary documentation and respond to vendor inquiries. Resolve invoice discrepancies and reconcile vendor statements.
  • Comply with company policies, report any non-compliance or internal control issues to management promptly.
  • Support Payroll Specialist as needed and perform additional assigned tasks.

REQUIREMENTS

  • High School Degree or GED is a must.
  • Minimum of 2 years experience in Accounting or Finance.
  • Proficiency in MS Office.
  • Preferred experience with QuickBooks (2+ years).

EDUCATION

  • High School Diploma or GED.
  • Some College, Associates, or Bachelor's degree preferred.
