Under the direction of the Planning Director and Parks & Rec Director, the Planning Administrative Assistant is responsible for serving as the receptionist for the Planning and Parks Department and providing a broad range of administrative tasks.


ESSENTIAL FUNCTIONS:


  • Assists in the preparation of meeting agendas, staff reports, meeting minutes (Planning Commission, Parks Committee, DDA and ZBA), notices of public hearings, and preparation of Planning Commission, Parks Committee, Zoning Board of Appeals and Downtown Development Authority meeting packets.
  • Coordinate schedules for Planning Department, Parks Department, Planning Commission, and zoning Board of Appeals.
  • Answer incoming Planning telephone calls and assist citizens at the Planning and Zoning counter.
  • Prepares notices of violations, letters and reports at the direction of the Planning Director and/or Zoning Administrator.
  • Research and compile documents.
  • Accepts and handles cash, checks and credit card payments for a variety of permits, goods and services.
  • Maintains all Planning Department & Parks & Recreation Departments records such as minutes, bonds, ordinances, files, etc.
  • Assists citizens in reserving park spaces, including leagues.
  • Issue Hunting Permits for Peace Park.
  • Perform all billings/refunds for escrow accounts for Planning Department
  • Scan file records into system.
  • Provides back-up to the Township Hall Administrative Assistant Position and fills in in the case of absences.
  • Assists other departments as needed.
  • All other duties as assigned.

BASIC SKILLS AND KNOWLEDGE:


  • Excellent attitude and willingness to assist residents and customers.
  • Ability to conduct oneself in a professional manner with general public and fellow employees.
  • Ability to organize, prioritize and work independently.
  • Ability to attend meetings scheduled outside of normal business hours
  • Good telephone and communication skills.
  • Good reading, writing, and math skills.
  • Good computer skills including Microsoft Office package and software package.
  • Experience with virtual meetings.
  • Knowledge of Office 365 preferred.

MINIMUM EDUCATION & BACKGROUND:


  • High school education (minimum 18 years of age)
  • Minimum two (2) years of experience in a general office setting.

MINIMUM ENVIRONMENTAL EXPECTATIONS:


  • Little or no exposure to noise, weather conditions, heavy machinery or hazardous materials.

MINIMUM PHYSICAL EXPECTATIONS:


  • Position requires keyboarding, sitting, telephone work and filing.
  • Position often requires extensive periods of time working on a computer.
  • Position may require an individual to push, pull or lift as much as 25 pounds.
