Minimum Qualifications

NY HELPS:


Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.


A certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.


Transfer Opportunity:

Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.


Duties Description
The Administrative Assistant 1 (AA1) will provide support to the Bureau of Data Analytics, Research and Evaluation.

Responsibilities will include scheduling meetings and conference calls (virtual and in-person), maintaining staff calendars, compiling; prioritizing and distributing mail; maintaining and managing inventory of and ordering supplies; answering and routing phone calls, responding to phone inquiries, arranging travel, packaging and tracking technical contracts, and maintaining electronic tracking systems and program files.

The AA 1 will serve as a backup for the Administrative Assistant 1s in each of the Bureaus in the Division of Family Health as well as the Office of the Medical Director.

Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
