Job Summary

Performs supervisory and administrative duties. Maintains direct responsibility for daily fiscal, quality, staff and patient care issues for Pre Services. This position has fiscal accountability as patient financial issues are addressed. Responsible for distributing educational information to physician offices, including but not limited to denial information. Analyses system data to monitor staff productivity and accuracy.

  • Ensures EPIC scheduling module is operating for maximum efficiency and scheduling accuracy. Works with Connect Analysts for scheduling system and preregistration workflow optimization requests. Maintains knowledge of infusion and imaging procedures and scheduling needs related to them. Collaborates with imaging and infusion departments, as needed to ensure accuracy of scheduling questions and procedure preps. Communicates with referring physician offices to ensure high level of customer service. Proactively monitors scheduling activity to identify opportunities for increased resource utilization (room, staff, time). Advises staff of current federal, state and regulatory compliance requirements as well as HIPAA and privacy requirements and adherence to Red Rules. Works with Case Management to ensure patient status is correct to avoid denials. Maintains working knowledge of contracts and payer requirements, updates staff on applicable insurance communications. Develops processes to identify and address denial issues prior to service, including but not limited to visiting practitioner offers as needed. Maintains relationship with physician office staff.
  • Closely monitors staff labor productivity and ensures alignment with budgeted goals on daily basis. Plans, establishes, monitors and revises work assignments, including flexing staff as appropriate to meet the demands of the unit and budgetary constraints. Maintains a minimum lead time for preregistrations as determined by department standards. Monitors ancillary scheduling call center KPIs, including service lead and dropped call statistics and keeps staff informed of call center performance. Ensures prompt contact with patient is initiated within 24 hours of receiving the scheduling order. Audits employee performance to ensure staff members are performing duties efficiently and accurately. Completes all daily, weekly and monthly reports and assigned work queues as required. Ensures new processes are rolled out timely and performs periodic reviews to ensure compliance. Completes payroll in an accurate and timely manner. Addresses low quality an/or low performance results in monthly one on ones. Monitors and reviews the work of the department Leads for completeness, accuracy and timeliness of work.
  • Maintains a plan for their personal growth and development. Participates and supports network Patient Access quality improvement initiatives and operational processes. Serves as an imaging scheduling and preregistration expert and provides knowledge and input to management on a consistent basis. Presents ancillary scheduling and preregistration key performance indicator metrics to Patient Access leadership team, as assigned. Attends inservices, mandatory meetings and training sessions. Researches and resolves complaints or problems in a professional manner, providing effective service recovery when appropriate. Supports training of staff and mentors Leads in the department. Performs other duties as assigned.
