Reports to:
Director of Nursing (Medical Records) and Administrator (Central Supply)


Summary:

The primary purpose of your job position is to maintain resident medical records and health information systems, as well as assist in efficiently providing supplies and equipment in accordance with current federal and state guidelines, facility policies, and applicable regulations.


Position:
This is a full-time position, with a typical work week being 40 hours total and overtime when necessary.


Qualifications:


  • As a minimum, a high school diploma or its equivalent.
  • Must be able to read, write, speak, and understand English.
  • Must be a supportive team member, contribute to and exemplify teamwork and team concept.
  • You must have patience, tact, a cheerful disposition, enthusiasm, and the willingness to handle difficult situations.

Essential Functions:


  • Medical Records:_
  • Retrieve resident records (manually/electronically) and deliver them as necessary.
  • File information such as nurses' notes, resident assessments, progress notes, laboratory reports, xray results, correspondence, etc., into resident charts.
  • Assist in developing procedures to ensure resident records are properly completed, assembled, coded, signed, indexed, etc., before filing.
  • Maintain various registries, including registering residents for admission and discharge.
  • Answer telephone inquiries concerning medical records functions and prepare written correspondence as necessary.
  • Retrieve medical records when requested by authorized personnel and ensure proper signout and signin procedures are followed.
  • Ensure compliance with HIPAA regulations and report any known or suspected violations.
  • Central Supply:_
  • Ensure all purchase orders are properly prepared, signed, and submitted as required.
  • Assist in preparing correspondence and claims concerning damaged merchandise, errors in shipment, etc.
  • Fill requisitions from departments for routine supplies and equipment in accordance with established policies and procedures.
  • Organize storage, issue, and delivery of supplies and equipment in accordance with established policies and procedures.
  • Check invoices, purchase orders, packing slips, etc., with incoming merchandise and update inventory as required.
  • Maintain supply and storage rooms in a safe, clean, and orderly condition.
  • Clean and check equipment as directed/necessary and report malfunctions or breakdowns to the supervisor.
