Description

Primary Purpose:


The Executive Assistant provides administrative support to CHRO, handling a variety of tasks to ensure the smooth functioning of the executive's office and facilitating efficient workflow.


Responsibilities and Duties:

Calendar Management: Coordinate and manage executives' schedules, including arranging appointments, meetings, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them.

Meeting Support: Prepare agendas, take meeting minutes, and distribute relevant documents. Coordinate logistics for meetings, including room reservations, catering, and audiovisual equipment setup.

Travel Coordination: Arrange domestic and international travel for executives, including flights, accommodations, transportation, and visa processing. Provide detailed itineraries and travel packs.

Expense Management: Process expense reports, reconcile credit card statements, and track expenses. Ensure compliance with company policies and procedures.

Information Management: Maintain and organize files, records, and databases. Retrieve and compile data as required for reports and presentations.

Project Support: Assist with special projects, initiatives, and events as assigned by the executive. Conduct research, gather information, and prepare presentations or briefing materials.

Relationship Management: Serve as a liaison between the executive and internal/external stakeholders, including staff, clients, vendors, and partners. Build and maintain professional relationships on behalf of the executive.

Confidentiality: Handle sensitive and confidential information with discretion and professionalism. Uphold strict confidentiality standards at all times.

  • Performs additional related duties as required or assigned.

Education and/or Experience Qualifications

  • Required:_
  • Proven experience as an executive assistant or similar role, preferably supporting Clevel executives.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
  • Strong communication skills, both written and verbal, with a high level of professionalism and diplomacy.
  • Attention to detail and accuracy in all work activities.
  • Discretion and trustworthiness when handling confidential information.
  • Adaptability and the ability to work well under pressure in a fastpaced environment.
  • Bachelor's degree or equivalent qualification preferred.
