JOB SUMMARY
This position is responsible for the planning, coordinating, and directing of the day to day operations

of the Senior Leadership Team. The Executive Assistant performs work that is varied and generally

administrative and/or project oriented with analysis. Work regularly requires use of initiative,

discretion, high confidentiality, and independent judgment. Must be well organized, flexible and

self-directed, with excellent judgment and the ability to anticipate needs of the Senior Team. This

position will deal with highly confidential matters, will interact with professionals at all levels, and

juggle a fast-paced environment. Must have an ability to remain flexible, proactive, resourceful, and

efficient. Strong written and verbal communication skills are essential.


QUALIFICATIONS:


  • 13 years previous Executive Assistant Experience required.
  • Healthcare experience preferred.

RESPONSIBILITIES:


  • Serves as the Executive Assistant to the Senior Leadership Team.
  • Coordinates activities daily for the Senior Leadership Team.
  • Manages calendars daily for the Senior Leadership Team. Coordinates scheduling meetings for the Senior Leadership Team.
  • Manages meeting room calendar requests and provides conference line information as needed. Provides set up for meetings in conference rooms as needed.
  • Assists with taking minutes for various meetings as needed.
  • Assists with internal and external requests and questions. Resolves general to complex inquiries and questions and responds to correspondence or telephone contacts in area of responsibility.
  • Maintains record keeping of master project list and initiatives for hospital and assists Senior Leadership Team in completing tasks related to these initiatives as needed.
  • Organizes and creates materials for Board Meetings and Partnership Meetings.
  • Keeps paper and electronic records highly organized.
  • Collects and reviews documents for accuracy for CEO signature.
  • Responds to Senior Leadership Team requests: online, phone, and in person in a timely fashion.
  • Assists with a variety of scheduled and unscheduled projects occurring in the department at any given time.
  • Purchases approved items and adheres to corporate purchasing policies.
  • Reconciles credit card statement for accuracy.
  • Upholds a strict level of confidentiality.
  • Coordinates administrative duties for the Senior Leadership Team as needed.
  • Assists in event planning and management as requested by the Senior Leadership Team.
  • Assist in data entry as requested by Administration.
  • Develop and monitor departmental process improvement plans as appropriate.
  • Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • May provide input on the development and implementation of departmental policies, practices, procedures, and attainment of operating goals.
  • May be required to train or mentor other staff members.
  • May assist in marketing and advertising functions if needed: Compose and draft documents and correspondence for presentations, course handouts, conferences, seminars, community events and reports; perform substantial editing and fact checking.
  • Assists with other duties as requested.
