AKRF is seeking a Proposal Coordinator to join our marketing team in the New York City office.

The Proposal Coordinator will play a crucial role in supporting the firm's business development efforts by managing the preparation and submission of high-quality proposals along with the following responsibilities:


  • Reviewing RFQ/RFP documents to develop comprehensive proposal outlines and compliance matrices
  • Participating in go/nogo discussions
  • Coordinating and managing the entire proposal development process using Adobe InDesign
  • Coordinating the design of MS PowerPoint presentation decks and populating content therein
  • Preparing prequalification forms and qualification packages
  • Writing and updating profiles, resumes, project descriptions, and other marketing narratives
  • Maintaining proposal templates, boilerplate content, and graphics to streamline the proposal production process
  • Maintaining marketing data in our Unanet CRM
  • Facilitating coordination and collaboration among internal stakeholders, including technical teams, project managers, and executives

Essential requirements:


  • Bachelor's degree in related field of study like English, marketing, journalism, or communications.
  • Approximately two years of proposal coordination experience with an AEC firm.
  • Ability to format proposal content in Adobe InDesign.
  • Familiarity with MS Office Suite (Outlook, SharePoint, and Teams).
  • Strong writing, editing, and proofreading skills, with exceptional attention to detail.
  • Ability to organize projects, prioritize tasks, and meet deadlines.
  • Ability to work independently and as part of a collaborative team.

Compensation will range from $X to $100K - $125K, and commensurate with experience.
