    This is an Off-Schedule, non-bargaining position.


    JOB DESCRIPTION


    The primary duties of the Classified Human Resources Coordinator are to provide clerical and other support to the Director of Human Resources and classified employees in the district.

    Job duties will include but are not limited to managing the job posting and application process on TalentEd web-based application management system, conducting new employee orientations, entering employee information into payroll system, taking notes at classified bargaining sessions, assisting with reports, transcripts and training requirements, maintaining logs and assisting others when needed.

    The person in this position also manages the paraeducator certificate program, including planning classes and tracking budgets and progress as per program requirements.

    A courteous, customer-friendly demeanor and team player attitude is a must for this position.

    CONDITIONS OF EMPLOYMENT

    • High School diploma or equivalent.
    • Must present official transcripts of highest degree earned within 30 days of employment.
    • Must be able to perform the essential functions of the position with or without reasonable accommodation.

    • Must pass a basic skills test.
    • Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter.
    • Must pass a background check, which includes employee paid fingerprinting.

    QUALIFICATIONS REQUIRED

    • Minimum of three (3) years' successful secretarial experience.
    • Proven work experience with data entry and office technology.
    • Excellent keyboarding skills (60 wpm).
    • Experience and expertise in operating office machines, including calculators, scanners, copiers, 10-key calculators, personal computers.
    • Evidence of strong computer skills, including computer applications: Windows, Word, and Excel. Candidates may be required to pass a computer skills test.
    • Skill to perform basic math calculations.
    • Attention to detail and ability to work efficiently with a high degree of accuracy.
    • Demonstrated proficiency in office methods, including excellent telephone etiquette, filing and record-keeping.
    • Evidence of ability to establish and maintain a tactful, cooperative, and effective relationship with staff, fellow employees, management, students and parents.
    • Evidence of ability to handle a high-volume workload while maintaining a positive and professional attitude.
    • Evidence of excellent attendance, punctuality, and dependability; evidence of ability to be self-disciplined, and a self-starter.

    • Must demonstrate sufficient command of the English language to communicate verbally and in writing with students, parents, district staff members and other concerned people regarding all aspects of their job-related activities.

    PREFERRED QUALIFICATIONS

    • AA or BA/BS degree in Human Resources or related field
    • Evidence of operational knowledge of TalentEd (online application management) and Sungard BusinessPlus (employee tracking and payroll) computer applications.

    ESSENTIAL DUTIES AND JOB FUNCTIONS

    • Assist with hiring processes of classified staff by accessing Talent Ed online application system to review applications and verify hiring requirements have been met.
    • Create and maintain electronic and hard copy personnel files.
    • Assist Human Resources Management with improving and maintaining paperless file management system (Laserfiche).
    • Prepare hiring paperwork.
    • Prepare and present new employee orientations.
    • Work with Teaching & Learning department and trainers to plan, schedule and track components of the paraeducator General Certificate program in line with program requirements and state deadlines.
    • Import monthly clock hour data from pdEnroller and answer basic clock hour questions.
    • Answer questions from classified employees related to collective bargaining agreements.
    • Enter new hire information into BusinessPlus system.
    • Track, complete and scan classified employee Washington State Sexual Misconduct and verification of classified experience forms.
    • Develop and maintain various tracking systems of employee information.
    • Learn and apply information in all Collective Bargaining Agreements as they relate to payroll/pay assignments and benefits.
    • Scan payroll and HR documents into correct files.
    • Monitor and maintain seniority lists for classified staff.
    • Monitor fingerprint, transcript, and training deadlines for newly hired classified staff.
    • Enter transcript data per Collective Bargaining Agreements for enhancement pay.
    • Perform initial background checks through WATCH system.
    • Maintain classified staff development budgets.
    • Balance paraeducator and secretary staff development P-Cards.
    • Process classified clock hours.
    • Process HR department reimbursement requests.
    • Prepare department work orders and requisitions as needed.
    • Collect, track and file classified employee evaluations annually, including notifying administrators and supervisors of deadlines for evaluations.
    • Assist with preparation of bargaining documents, take notes in bargaining sessions.
    • Respond to telephone calls, email and voicemail in a courteous and efficient manner.
    • Work cooperatively with HR and payroll staff to facilitate completion of work within timelines.
    • Perform other job-related duties as assigned.
